Who We're Looking For: The Office Manager oversees the daily administrative and operational functions firm-wide to ensure efficient workflow, effective communication, and support for project teams. This role coordinates office operations, manages administrative staff, and assists leadership with financial, human resources, and organizational tasks. Key Responsibilities:
- Office Operations
- Manage day-to-day office operations to ensure a well-organized and productive work environment.
- Coordinate office procedures, supplies, equipment, and vendor relationships.

Maintain office policies, procedures, and administrative systems.

Administrative Support
- Provide administrative support to principals, architects, and project managers.
- Coordinate meetings, schedules, travel arrangements, and internal communications.
- Prepare correspondence, reports, and documentation.

Directly oversee and manage administrative team of +/- 5-10 employees spanning multiple offices.

Financial & Billing Support
- Assist with invoicing, project billing coordination, and expense tracking.
- Support accounting processes such as timesheets, expense reports, and vendor invoices.
- Coordinate with accounting as needed.

Experience with Quickbooks preferred.

Human Resources Administration
- Assist with hiring and recruitment coordination - Manage active job postings, oversee team supporting screening and scheduling interviews, candidate reviews and reporting internally, onboarding, and maintaining employee records.
- Maintain HR documentation and support compliance with company policies.
- Coordinate employee benefits administration and internal communications.
- Oversee training schedules and maintenance of training completed.

- Support project teams with administrative documentation, contracts, and filing systems.
- Maintain digital and physical project records.

Qualifications
- Bachelor’s degree minimum required - major in business administration, management, or related field preferred.
- 10+ years of office management or administrative leadership experience. Must have experience directly overseeing and managing a team.
- Experience in architecture, engineering, or construction (AEC) industry preferred or within a similar structure managing and overseeing multiple office locations.
- Strong organizational, communication, and multitasking skills.
- Proficiency in office software (Microsoft Office, project management systems, and accounting platforms).
