INTRODUCTION
The Referral Specialist is the bridge to specialized care for all ESRH patients. They oversee the scheduling of patients with qualified Medical and Dental specialists and Imaging Facilities. The Referral Specialist works with all insurance companies to ensure insurance referrals and/or authorizations are obtained prior to the patient appointment if required. The Referral Specialist also works with the outreach team if it is determined they can provide a service such as transportation assistance or applying for medical insurance.
ROLE AND RESPONSIBILITIES
- Follow referral procedure to schedule an appointment for the patient; if unable to immediately schedule, notify the patient of the scheduling process/reason. Document the date/time/location/special instructions for the appointment.
- Notify the patient of the scheduled appointment and mail appointment information to them.
- Fax all applicable appointment documents to the office/facility, detailing each item faxed in the notes section of the referral.
- When required, obtain an insurance referral/authorization for the scheduled appointment. Provide authorization information to the office/facility.
- Complete structured fields.
- Utilize electronic methods for scheduling appointments and/or communicating with insurance companies when possible.
- Create referrals to assist clinicians by utilizing proper information obtained through a telephone encounter.
- Assist with coverage of caseloads of absent staff.
- Pending appointments will be followed up on at least every 30 days with a time stamped reason for delay in scheduling. Patient is notified of updates.
BASIC QUALIFICATIONS
- Requires a high school diploma or the equivalent.
- A minimum of 2 years of experience in a medical office preferred.
- Individual must be professional, self-motivated and have strong attention to detail, communication, teamwork, customer service and computer skills.
- Must demonstrate excellent internal and external customer service skills.
- Must demonstrate personal and professional commitment to the mission of Eastern Shore Rural Health as expressed in the Mission Statement.
- Ability to provide bilingual patient care is a plus.

- All steps in processing the referral are to be documented in the notes of referral utilizing the time stamp feature.
