Position Summary: The Design & Construction Services Analyst supports the planning, coordination, and administrative management of capital construction projects across the development and construction portfolio. The incumbent works closely with the Preconstruction team, Construction team, Cost Controls Manager, Internal departments including Operations, Real Estate, IT, Security, Marketing departments, etc. and external consultants to ensure projects are organized, documented, and progress according to schedule and internal standards. The Design & Construction Services Analyst plays a critical role in maintaining project documentation, coordinating communication between internal teams and external partners, tracking key milestones, and supporting both preconstruction and construction execution activities.
PRINCIPAL RESPONSIBILITIES:
- Support project teams with coordination, documentation, and communication from early planning through construction completion.
- Maintain organized project documentation—including contracts, drawings, specifications, reports, and correspondence—within company systems such as Procore or SharePoint.
- Assist with project setup, document control, and tracking of drawing revisions, technical reports, and key submittals/RFIs.
- Track project milestones, deliverables, and action items to support schedule adherence and overall project progress.
- Coordinate communication among internal teams, consultants, contractors, and vendors, ensuring timely information flow.
- Prepare project status updates, executive summaries, and internal management reports.
- Support development and coordination of consultant scopes, proposals, contracts, purchase orders, change orders, and pay applications.
- Assist with tracking project budgets, commitments, invoices, and cost reports in partnership with project management and cost controls teams.
- Coordinate project meetings—including scheduling, agenda development, documentation, and meeting minutes.
- Assist in organizing project closeout materials such as warranties, as-builts, and final reports, while supporting continuous improvement of project documentation standards and workflows.
- Performs other job-related duties as assigned or apparent.
QUALIFICATIONS
- Basic understanding of construction documentation including drawings, specifications, and consultant reports.
- Strong organizational and document management skills with attention to detail.
- Ability to manage multiple projects and competing priorities.
- Familiarity with construction project management platforms (Procore, SharePoint, Bluebeam, or similar).
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong written and verbal communication skills.
