Position Function:
This role provides direct support to Relationship Managers in the operations and documentation of commercial loans, including loan syndications, purchased credits, and direct lending. The position focuses on delivering exceptional service to support portfolio growth while resolving operational issues using independent judgment. Additionally, the role contributes to training junior loan administration specialists and supports the company’s mission to create value for customers, employees, the community, and shareholders.
Performs all duties and interacts with internal and external customers in a manner that is expressly aligned with the Company's Core Values of approaching all actions with a “Voyaging Spirit” and being “Positively Ohana”. Primary Accountabilities:
Commercial Loan Administration
- Coordinates and manages the loan documentation process as assigned. Including responding to both internal and external inquiries to resolve documentation issues, completing required due diligence, and organizing required loan documentation.
- Coordinates with relationship managers to schedule recording dates, funding, and booking for commercial loans according to bank policy and procedures.
- Is responsible for completing the loan file for review and approval, including the coordination and maintenance of loan closing checklists.
- Reviews and processes construction draws, disbursements, notice of loan activity (NOLA) from Agents, and the timely processing of loan payments according to banking compliance policies and procedures.
- Provides team-focused leadership and contributes to the growth and career development of junior Specialists, Underwriters and Relationship Officers.
- Communicates actively and effectively.
- Is proficient with Syndtrack, other syndication portals, and CoStar.
- Provides additional support to relationship managers as needed.

- Focused on identifying and implementing efficiencies to improve daily operations and enhance customer service.
Relationship Banking
- Assists the team by building trust with clients — attentive, anticipate, over-deliver, communicate frequently and satisfy requests promptly.
- Constantly seek opportunities to surprise and delight clients.
- Assist the Team by being familiar with products and services offered by the Bank.
- Actively participates in joint calls with relationship managers.
Risk Management/Compliance
- Assist the team by understanding policies and procedures.
- Assist the Team by minimizing ticklers, exceptions and delinquencies.
Personal/Professional Development
- Assist the team in participating in Bank's functions and training sessions.
- Assist the team and community by participating in non-profits and other community endeavors.
Minimum Qualifications:
Education:
- High School Diploma or GED equivalency required.
- Bachelor’s Degree from a 4-year university in Business Administration or related field preferred.
Experience:
- 5+ years of experience in Business/Commercial loan and deposit servicing required.
Physical Requirements & Working Conditions:
- Must be able to perform light physical work and to move or lift items including but not limited to boxes, files and papers up to 20 pounds unless otherwise as indicated.
- Must be able to operate and proficiently use standard office equipment, including phone, copier, personal computer and/or other work related mechanical or electronic devices and applications.
- Must be able to clearly communicate verbally and in writing with all internal and external customers. Must also be able to hear sufficiently to engage in daily discussions and interactions.
- Must be able to read and understand bank-related documents.
- Must be able to work in a conventional office setting, involving sitting at a desk or workstation for long periods of time. Must also be able to adapt to different work environments as needed to perform the job.
