The Advancement department is seeking a full-time Coordinator, Principal Gifts Program to support the execution of the Museum’s Principal Gifts Program through program coordination, communications, stewardship efforts, and donor engagement activities, with a particular focus on Trustee and principal donor initiatives. Working closely with the Director, Principal Gifts Program, the Coordinator helps advance the Museum’s high-level fundraising efforts by coordinating activities and projects, preparing donor-facing materials and correspondence, supporting Trustee and donor engagement efforts, and helping ensure the successful fundraising and stewardship initiatives.
Job duties include, but are not limited to:
- Serve as a key coordinator for Principal Gifts activities, helping to track timelines, deliverables, stewardship commitments, and fundraising priorities. Coordinate activities and the flow of information across Advancement and other Museum departments to support Principal Gifts initiatives and donor engagement efforts.
- Draft, edit, and proofread donor correspondence, stewardship communications, fundraising materials, donor briefings, presentations, and related materials for the Principal Gifts team and senior Museum leadership.
- Serve as the primary coordinator for the annual Chairman’s Appeal (CYEA), including tracking participation and giving, maintaining records, and supporting related Trustee outreach, solicitation, and stewardship efforts.
- Assist with cultivation, solicitation, and stewardship activities in support of Principal Gifts fundraising efforts.
- Coordinate donor meetings, visits, tours, events, and other engagement opportunities for Trustees, Honorary Trustees, principal donors, and prospects, including scheduling, communications, materials, RSVPs, and related logistics.
- Maintain current and accurate donor records in Raiser’s Edge (CRM).
Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization, and depth and scope of experience.
- High School Diploma or equivalent.
- Two years relevant professional, academic, or volunteer experience in administration, project coordination, event support, fundraising, donor relations, communications, and/or a comparable office environment.
- Experience preparing professional correspondence, presentations, reports, meeting materials, and/or other donor-facing communications.
- Excellent writing, editing, proofreading, and organizational skills.
- Proficiency with the Microsoft Office Suite.
- Bachelor’s degree in communications, English, business administration, arts administration, liberal arts or another related field.
- Familiarity with fundraising databases and constituent relationship management systems.
- Must be able to remain in a stationary position (sitting or standing) for prolonged periods.
- Must be able to move about the Museum campus.
