Position Summary:
The Lead Medical Assistant manages and guides the Medical Assistant (MA) staff while performing all duties of a standard MA. Lead MAs assists in interviewing potential new hires and training new staff. Leads are responsible for ensuring efficient clinic flow, maintaining supplies, and acting as a liaison between the MA team and management. Additionally, the Lead MA will address patient concerns in office. Leads perform both clinical and administrative tasks to support the ARA providers and ARA team members. Daily duties include taking vital signs, recording medical history including medications, assisting with patient exams and procedures, and keeping accurate electronic health records. They also handle administrative functions like patient communication and scheduling injection appointments. This is a full-time position in office.
Key Duties & Responsibilities:
The Lead Medical Assistant:
- Provides coordination and general technical supervision.
- Assess daily MA staffing needs and reviews monthly coverage needs.
- Assigns MA lunch schedules and access needs during lunch time
- Reviews and trains Medical Assistants on any changes in protocols or procedures, including regular meetings.
- Participates and monitors the training of new Medical Assistants. Conducts remedial training when needed.
- Serves as a mentor for new Medical Assistants
- Helps with day-to-day solutions for patient care concerns.
- Serves as a liaison between the Office Manager, pharmaceutical reps., other MAs, and physicians and nursing staff.
- Monitors and conducts periodic quality checks on MAs’ work. Responsible for compiling KPIs quarterly.
- Monitors to make sure Rx refill voicemail is clear at end of each day.
- Monitors and maintains sample drug closets and keeps them stocked.
- Disposes of expired drugs.
- Keeps drug logs current.
- Monitors that refrigerator temperatures are daily checked and logged.
- Assists MAs with problem solving issues.
- Maintains proper medical supply inventory
- Monitors and makes sure all equipment, including the ultrasound and Iovera devices, is in proper functioning order and/or reports to MA manager or office manager if maintenance/service of equipment is needed.
- Obtain prior authorization for EMG Nerve Biopsies.
- Assist with 90-day and annual evaluations.
- Assist with conducting interviews of prospective new MAs.
- Serves as a role model to staff, demonstrating ethical behavior and adhering to all the rules, policies, and procedures of ARA.
- Monitors and orders clinical supplies.
- Responsible for ensuring that all HouseRx inventory, dispensing, and packaging is accurate prior to leaving each day.
- Maintain the OSHA log and check for accuracy on a weekly, monthly, and annual basis.
Medical Assistant Duties:
- Checks patient electronic health record to make sure that Physicians’ notes, lab work, X-ray reports, outside tests, and other Physicians’ reports are in the chart before taking patient back to exam room.
- Prepares patient for examination and treatment. Takes brief histories, checks vital signs and reviews Phreesia pre- visit for accuracy, and compiles patient’s list of medications.
- Ensure proper documentation of all patient interactions, procedures, and medication in the EHR system.
- Assists with Iovera, injections, aspirations, and ultrasound.
- Administers and documents routine immunizations
- Gives injections, performs phlebotomy, fits patients with orthopedic appliances, splints, and dressings.
- Follows protocols in the care and maintenance of medical equipment in office.
- Prepares exam rooms with necessary instruments and supplies.
- Returns calls to patients per Physician request.
- Follows medication refill protocols when checking RX request voicemail
- Acts as the liaison between Admin MAs, call center, and the physicians they work with.
- Provide patient education/teaching for patients to administer home injections.
- Provides patients with educational information per Physician approval.
- Knows the different types of insurance that the office participates with to prepare lab specimens and requisition forms for appropriate labs.
- Knows how to access CRISP to run and print PDMP reports for physicians when refills of Opioids and/or benzodiazepines are requested by patients.
- Remains current with the policies mandated by Federal and local governments, Medicare/Medicaid programs and other private healthcare programs regarding handling of laboratory work.
- Assist in the training of new Medical Assistants.
- Travels to other locations when coverage is needed.
- Serves as a chaperone when requested.
- Check that images transferred to MedStrat
- Process all required steps in HouseRx manual. This includes inventory, dispensing, and packaging.
Qualifications:
- Three year’s experience as a clinical medical assistant, with a minimum of one year at ARA.
- Certified Medical Assistant or equivalent experience.
- Knowledge of examination and diagnostic procedures, including medical equipment, vital signs, and instruments.
- Knowledge and understanding of OSHA and HIPAA standards.
- Knowledge of different insurance company requirements with regard to laboratory handling and billing.
- Skill in maintaining clear notes and inputting correct data in patients’ electronic health records.
- Skill in establishing and maintaining effective working relationships with patients, other staff, and the public.
- Skill in using computers, including basic knowledge of Microsoft Office Suite.
- Ability to react calmly and effectively in emergency situations.
- Ability to adapt to changes in the department.
- Ability to communicate clearly both orally and in writing.
- Ability to examine documents for accuracy and completeness.
- Ability to identify and solve problems as they arise.
Working Conditions / Other:
- This is a full time in office position.
- Rotating late nights are required.
- Requires full range of body motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination. Requires normal visual acuity and hearing. Involves standing and walking. Requires exposure to bodily fluids. Ability to lift items weighing up to 100 pounds.
