We’re looking for an HR Coordinator who’s equal parts relationship-builder, problem-solver, and process-champion — someone who’s excited to own talent acquisition, onboarding, and payroll accuracy.
Essential Functions:
Talent Acquisition
- Coordinate the recruiting process including posting job openings, initial screenings, interview scheduling, conducting phone screens, making offers, conducting background checks, as well as communication with candidates and managers.
- Proactively source and build pipelines of qualified candidates through networking, research, social media, job boards, employee referrals, and industry events. Maintain ongoing engagement with potential talent to ensure a steady pool of candidates for current and future hiring needs.
- Coordinate and participate in recruiting events.
- Administers and maintains the recruiting module of the HRIS, ensuring accurate tracking of candidate status, consistent documentation of candidate communications, proper recording of candidate notes, and uploading recruiting documents like interview notes.
Onboarding
- Manage post-offer communication to ensure a seamless onboarding experience. Responsibilities include verifying completion of all required paperwork, coordinating delivery and functionality of equipment for remote employees, and ensuring workstations and equipment are properly set up for in-office employees.
- Manage and conduct the onboarding process for all new hires, ensuring a positive and welcoming experience.
- Coordinate and conduct office tours and introductions for new employees in the Madison office and collaborate with staff in other locations to ensure consistent onboarding practices across all offices.
- Ensure completion of all required documentation and mandatory training during the onboarding process, supporting compliance and a smooth transition for new employees.
Payroll
- Manage all payroll administration including pay and position changes, benefit deduction changes, proper tax and other required deductions, direct deposit administration, and other administration processes.
- Process payroll to ensure accurate and timely employee time records and compensation in accordance with legal and regulatory compliance.
- Perform wage and employment verifications and administer garnishments.
- Maintain accurate personnel records in compliance with federal/state regulations.
Additional duties include facility coordination, assisting with training and development as well as employee relations assistance.
Education/Qualifications:
- Bachelor’s Degree in Human Resources or related field and 1-2 years related experience or equivalent combination of education and experience required.
- PHR/SPHR or SHRM-CP/SHRM-SCP preferred.
- Knowledge of employment-related laws and regulations.
- Working understanding of human resource principles, practices and procedures.
- Ability to work independently.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Proficient computer skills are required including experience with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), experience with a collaboration platform (preferably WebEx), and the ability to navigate a network environment.
- Experience with Paylocity is preferred.
- Ability to quickly learn and integrate new technical skills and knowledge is required.
Travel Requirements:
- Travel as required for meetings or training.
