Essential Responsibilities
Administrative & Calendar Support: Coordinate and distribute calendars for medical staff and administration; manage and maintain the facility's maintenance work order log.
Communication & Reception: Serve as the first point of contact by answering and professionally directing incoming facility telephone calls.
Meeting & Event Coordination: Handle logistics for larger group meetings, including copying, scanning, and managing related tasks for various internal departments.
Intake & Patient Support: Assist with processing admission packets directly with patients and/or Mental Health Power of Attorney (MHPOA) representatives.
- Purchasing & Inventory: Assist with purchase orders, coordinate and schedule incoming deliveries, and meticulously maintain the facility's inventory log.
Customer Service: Exceptional ability to provide polite, effective, and professional service to both internal staff and external visitors.
Communication: Highly skilled at active listening, processing information accurately, and expressing ideas clearly both verbally and in writing.
Initiative: A proactive problem-solver who takes personal responsibility and suggests workflow improvements within their scope without needing to be asked.
Compliance & Information Management: Ability to record, report, and maintain strict confidentiality of sensitive data while complying with all government, regulatory, and hospital rules.
Productivity: Excellent time-management skills with the ability to manage multiple priorities and complete assigned tasks with minimal reminders.
Education: Bachelor’s degree in a related field or an equivalent combination of education and work experience preferred.
Experience: Prior experience as an administrative assistant is preferred; knowledge of a healthcare setting is a strong plus.
Technical Skills: Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and internet research.
Professional Skills: Proven ability to write professional copy (memorandums, policies, procedures), compile structured files for personnel or vendors, monitor date-sensitive information, and build strong professional relationships.
