Role Overview
The Executive Assistant to the Principal provides high-level administrative and organizational support that enables the Principal to focus on instructional leadership, staff development, school culture, and long-term school strategy.
This position requires excellent judgment, discretion, initiative, and the ability to manage sensitive and confidential information with the highest level of professionalism. The Executive Assistant serves as a trusted partner to the Principal and must be able to anticipate needs, independently resolve problems, manage competing priorities, and maintain a steady presence in a fast-paced school environment.
The ideal candidate is highly organized, proactive, attentive to detail, and capable of moving work forward without requiring constant direction. This individual will communicate and coordinate with staff members, families, board members, network leadership, community partners, and other internal and external stakeholders.
Key Responsibilities
Executive and Administrative Support
- Provide comprehensive administrative and organizational support to the Principal.
- Manage the Principal’s calendar with a high level of ownership, discretion, and attention to competing priorities.
- Proactively schedule meetings, resolve calendar conflicts, confirm appointments, and ensure the Principal is prepared for upcoming commitments.
- Anticipate scheduling needs, deadlines, conflicts, and time-sensitive matters before they become urgent.
- Organize and maintain administrative systems that support the Principal’s effectiveness and the school’s daily operations.
- Manage recurring responsibilities and special projects with limited supervision.
- Exercise sound judgment when determining which matters require the Principal’s immediate attention and which can be independently resolved or redirected.
Meeting Coordination and Follow-Through
- Manage meeting preparation from beginning to end.
- Develop and organize agendas in collaboration with the Principal and other stakeholders.
- Gather, organize, and distribute meeting materials in advance.
- Attend meetings as requested and take clear, detailed, and accurate notes.
- Document decisions, assignments, deadlines, and next steps.
- Maintain systems for tracking action items and independently follow up with responsible parties.
- Ensure tasks and commitments are completed without requiring repeated reminders from the Principal.
- Coordinate logistics for leadership meetings, staff meetings, family meetings, board meetings, and external stakeholder meetings.
Reports, Documents, and Correspondence
- Prepare, format, edit, and finalize recurring and ad hoc reports for the Principal.
- Review documents for accuracy, clarity, consistency, grammar, and professional presentation before distribution.
- Draft, proofread, organize, and manage correspondence on behalf of the Principal.
- Prepare presentations, spreadsheets, meeting materials, memoranda, letters, and other school documents.
- Maintain organized electronic and physical files in accordance with school procedures.
- Ensure that reports, correspondence, and requested materials are completed accurately and by established deadlines.
- Assist the Principal with monitoring deliverables, reporting requirements, and school-wide deadlines.
Communication and Stakeholder Coordination
- Serve as a primary point of contact for internal staff communication on behalf of the Principal.
- Use sound judgment to triage inquiries, provide appropriate responses, redirect matters, or escalate concerns.
- Communicate with staff members clearly, respectfully, and professionally.
- Coordinate occasional family-facing matters, including scheduling parent or guardian meetings and organizing related materials.
- Support communication and coordination with network leadership, board members, community partners, vendors, and other external stakeholders.
- Represent the Principal’s office with professionalism, responsiveness, warmth, and discretion.
- Build positive working relationships across departments and levels of the organization.
- Help ensure that stakeholders receive timely follow-up and that communication does not remain unresolved.
Board and External Partner Support
- Support the preparation of materials for board and committee meetings.
- Assist with coordinating schedules, agendas, reports, presentations, and supporting documentation.
- Track requests and action items arising from board or stakeholder meetings.
- Support communication and meeting coordination with community organizations, vendors, government agencies, and external partners.
- Ensure that external-facing materials reflect a polished and professional standard.
Confidentiality and Professional Judgment
- Maintain strict confidentiality regarding personnel matters, student records, family concerns, investigations, leadership discussions, and other sensitive school business.
- Handle confidential documents and conversations in accordance with applicable laws, policies, and professional standards.
- Exercise discretion when communicating information and determining who should have access to sensitive matters.
- Develop and maintain the trust of the Principal, school leadership, staff members, students, and families.
- Respond to sensitive interpersonal situations calmly, respectfully, and diplomatically.
- Recognize when matters require escalation and communicate concerns to the appropriate leader promptly.
School and Operational Support
- Support the coordination of school-wide events, professional development sessions, family meetings, and special initiatives.
- Assist with administrative projects that advance school priorities and strengthen organizational systems.
- Collaborate with school operations, instructional, student support, and network teams as needed.
- Help maintain an organized, responsive, and professional Principal’s office.
- Adjust priorities quickly in response to emerging school needs.
- Perform additional duties that support the Principal, students, staff, and broader school community, as assigned.
Qualifications
- Associate’s degree required.
- Bachelor’s degree preferred.
- Prior experience providing executive, administrative, or project coordination support required.
- Experience supporting a senior leader or executive strongly preferred.
- Experience working in a school, education organization, nonprofit organization, or other fast-paced professional environment preferred.
- Demonstrated ability to work independently and move projects forward without close supervision.
- Demonstrated ability to make sound decisions and manage ambiguity.
- Strong conflict-resolution and interpersonal skills.
- Ability to navigate sensitive situations calmly, tactfully, and diplomatically.
- Exceptional organizational and time-management skills.
