Role Summary:
Key Responsibilities:
Project & Program Management
- Manage multiple projects and events simultaneously from kickoff through completion.
- Develop and maintain project schedules, timelines, budgets, and critical milestones.
- Coordinate internal resources and external vendors to ensure successful execution.
- Track project progress and proactively identify risks, issues, and solutions.
- Support project closeout activities, reporting, and post-event evaluations.
- Maintain oversight of client-owned exhibit properties, event assets, and inventory.
- Coordinate storage, refurbishment, maintenance, and deployment of exhibit assets.
- Identify opportunities to maximize asset utilization and reduce program costs.
- Ensure accurate inventory records and asset tracking.
- Coordinate logistics including transportation, shipping, labor, installation, dismantle, and onsite support.
- Manage relationships with show contractors, venues, vendors, and service providers.
- Support trade shows, conferences, meetings, outdoor events, and branded activations.
- This is primarily an office role but may require participation in onsite event execution as needed.
- Develop and manage project budgets.
- Review vendor quotes and coordinate purchasing activities.
- Monitor project costs and communicate potential budget impacts.
- Support efforts to improve efficiency, profitability, and overall project performance.
- Work closely with Client Services Managers to understand client goals and project requirements.
- Partner with creative, production, warehouse, logistics, and technical teams to deliver successful events.
- Maintain clear communication with internal stakeholders throughout the project lifecycle.
- Contribute to process improvements and best practices across the department.
- Other duties as assigned.
Skills/Qualifications:
Required
- 3+ years of experience in event production, trade shows, experiential marketing, exhibits, project management, or a related field.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and project management tools.
- Familiarity with event logistics, shipping, labor coordination, and vendor management.
- Experience managing project budgets and schedules.
- Knowledge of convention center operations and exhibitor services is a plus.
