Objective of Position:
The Office Manager is responsible for handling basic building maintenance questions, simple furniture repairs, ordering office and kitchen supplies and assisting with the solution of any office related tasks.
Duties and Responsibilities:
- Manage and resolve all Facilities work tickets (FreshService), and act as silo Administrator for Facilities work ticket portal as well as run regular analytics and performance report.
- Manage freight elevator access and deliveries.
- Register visitors with building management security and utilizing the building management specific software.
- Provide credentials and training to business units on using building management portal that registers guests and schedules/reserves building conference spaces.
- Collaborate with Executive Support Staff for special meetings, events, and board meetings.
- Assist business units with meeting scheduling and requests via credentials on the Robin app.
- Manage all associated expenses for the office, such as, office supplies, deliveries, UPS, and Courier.
- Sort and distribute incoming mail at Byline HQ mailroom.
- Coordinate receipt of packages, inform receivers and distribute accordingly.
- Manage office postage machine usage and third-party maintenance of machine as required and provide credentials and training for UPS portal to business units.
- Assist with drafting correspondence as requested by the Facilities Team.
- Assist in drafting of reports, letters organization charts, power point presentations etc., as required.
- Manage the day-to-day services of Byline’s Headquarters Chicago Office which includes copiers, kitchens, building, office ID’s, and office supplies.
- Coordinate with our Corporate Security Officer to ensure the following for the supported office; access cards for new staff, seating charts, and monthly reporting.
- Coordinate with Corporate Security Officer and building management to ensure fire emergency plans are up to date, employees informed, and instructions /training provided to office business unit safety teams.
- Coordinate with the building management and third-party vendors to schedule service, maintenance, and inspection calls.
- Coordinate with Facilities Team to provide document control for all Facilities third-party vendors.
- Assist in any areas and duties as directed by the Facilities Team or Senior Management.
- Manage, update, and monitor department webpage – including job aid creation, updates, and process documents.
- All other duties as assigned.
- Position is hybrid, will generally require 2-3 days in office with the remainder remote – timing of in office presence dependent upon time of year, Board meetings, Corporate functions and miscellaneous occasions.

Qualifications:
- High School Diploma or equivalent.
- 5+ years of officer manager, receptionist, or office administration experience for large companies.
- Ability to effectively communicate and collaborate with a diverse range of people and job functions.
- Professional demeanor and ability to remain calm under pressure.
- Personal integrity, with the demonstrated ability to handle sensitive and confidential information.
- Ability to work independently.
- Attention to detail, and excellent organizational and communication skills.
- Ability to treat sensitive/confidential information with appropriate discretion.
- Strong sense of urgency, adaptability, flexibility, optimism, and resourcefulness.
- The ability to function professionally under pressure, while managing multiple concurrent projects and deadlines.
- Proven competencies in software applications and procedures including computers, video conference systems, Office 365, Microsoft Office etc.
- Good working knowledge of office equipment and procedures including computers, printers, postage machines, kitchen coffee makers, refrigerators, microwaves etc.
- Excellent interpersonal, written, and verbal communication skills.
PHYSICAL DEMANDS/WORK ENVIRONMENT:
Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Frequent use of eye, hand, and finger coordination enabling the use of office equipment. Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices.

Specific in-office days may vary and will be discussed during the interview process.
Byline Bank offers competitive industry rate salary bands with the goal of retaining and growing talented individuals. We regularly review and adjust our compensation structure as needed to ensure equity across teams and levels.
The hourly rate for this position is $25.00 to $30.76.
Pay is based on several factors including but not limited to education, work experience, certifications, etc. In addition to your salary, Byline Bank offers benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements).
