POSITION SUMMARY:
Performs responsible work entering data and maintaining vehicle maintenance documents. The position will monitor and analyze data and determine trends and errors. The position maintains files and equipment histories.
Performs duties that advance COTA's Strategic Plan and reflect the organization's core values of safety, empowerment, accountability, teamwork, and service, and support the mission of Moving Every Life Forward.
ESSENTIAL JOB FUNCTIONS:

Maintains vehicle maintenance time records by reviewing for accuracy, comparing data,
researching discrepancies; -
Enters payroll for union maintenance and storeroom personnel and authorizes approval; keys
time cards for payroll purposes and verifies accuracy; - Maintains vehicle maintenance personnel information to include attendance, disciplinary history and status; provides information to management for grievances and disciplinary actions and ensures compliance of the local TWU 208 union contract; creates COTA Personnel Action (B-30)document for all Maintenance / Stores union job bids;
- Coordinates Union sign-ups/bids three times per year, ensuring that all jobs are properly included and that the seniority lists are accurate and up-to-date;
- Maintains maintenance uniforms contract; checks invoices weekly, maintains proper inventory and resolves disputes when necessary;
- Types a wide array of documents including memos, letters and reports; routinely checks/ reviews documents for punctuation and grammar;
- Regular, predictable and punctual attendance required.
- Serve as the intake point for Maintenance‑related requests, ensuring proper routing and prioritization for Maintenance Managers.
- Process Maintenance invoices, verify receipt of goods and services, ensure accurate coding, and coordinate with Accounts Payable to resolve discrepancies.
- Prepare staff summaries and internal reports that provide budget status, operational updates, and key departmental activities for leadership review.
- Prepare and route purchase requisitions for routine and non‑routine needs, ensuring accuracy and alignment with procurement guidelines.

Manage the Maintenance Department budget, including expenditure tracking, account
reconciliations, and preparation of regular financial updates. Support annual budget planning by gathering input and coordinating with Finance and leadership.
MINIMUM EDUCATION & EXPERIENCE REQUIRED:

Requires an Associate's Degree and three (3) years of experience in an office environment is
required with at least one (1) year of experience in data analysis.
