The Valley County Road & Bridge Department is seeking a detail-oriented, proactive, and organized professional to fill the role of Administrative Assistant. This pivotal position provides critical clerical and customer service support, ensuring the department’s daily operations run smoothly and efficiently. Operating with a degree of independent judgment and initiative, the successful candidate will work under established policies to support both internal team members and members of the public.
This is a full-time position with full county benefits. EXAMPLE OF DUTIES Typical Duties & Responsibilities
The Administrative Assistant serves as a central hub for the department, handling a diverse array of administrative, financial, and operational duties.
- Permit Coordination & Public Service: The individual in this role acts as a primary point of contact for the public, answering and logging inquiries with a professional demeanor. They work closely with the Director and Operations Manager to process paperwork, manage databases, and meet deadlines for permits, including Approach and Construction in County rights-of-way (ROW) permits. Additionally, they conduct research for rights-of-way and maintain the department’s webpage.
- Fleet & Fleet Logistics Management: This position is responsible for managing and maintaining service records, mileage, and fuel usage for all county-owned vehicles and equipment. Responsibilities include processing fuel billing claim forms, managing the motor pool loaner program, and administering the comprehensive vehicle and equipment inventory lists.
- Financial & Administrative Support: The assistant creates expenditure requests for invoices, prepares monthly claim forms, processes payroll documentation, and researches billing issues while acting as the main contact for vendors. They are also tasked with drafting office communications, entering database information, preparing required reports, maintaining office and building supplies, and assisting with grant applications.
- Office & Team Coordination: To keep the team organized and compliant, the selected candidate will set up, manage, and maintain all department files and inventory programs. They will also handle travel arrangements, coordinate training schedules, and attend assigned meetings, always performing duties in strict accordance with County safety practices and policies.
