Description
The Part-Time Human Resources Coordinator provides administrative and technical support for the daily operations of the Human Resources Department. The position assists with onboarding activities, maintains personnel records, schedules meetings and interviews, prepares employment documentation, and supports a variety of human resources functions, including recruitment, records administration, training, compliance activities, and customer service.
The Part-Time Human Resources Coordinator serves as a primary point of contact for routine Human Resources inquiries and assists in maintaining accurate records, efficient workflows, and compliance with College policies and applicable federal and state regulations. The position may provide administrative support for recruitment and onboarding activities, including interview scheduling, applicant communications, and orientation logistics, as assigned.
The Part-Time Human Resources Coordinator receives general supervision from the Chief Human Resources Officer.
Examples of Duties
Human Resources Administration
Provide administrative and technical support for Human Resources operations.
- Prepare employment-related correspondence, forms, reports, and personnel action documents.
- Maintain electronic and physical personnel files in accordance with applicable record retention requirements.
- Process and file employment documentation while ensuring accuracy and confidentiality.
- Respond to routine Human Resources inquiries from employees, applicants, retirees, and the public.
- Assist with employment verifications and routine personnel record requests in accordance with applicable laws and College policy.
- Assist with onboarding activities for newly hired employees.
- Prepare onboarding materials and coordinate onboarding appointments.
- Track completion of required employment documentation and onboarding checklists.
- Coordinate requests for system access, directory updates, and new employee sponsor with appropriate departments.
- Monitor new-hire retention rates and collect onboarding feedback through surveys to improve the overall integration process.
- Coordinate departmental calendars, meetings, interviews, training sessions, and special events.
- Prepare agendas, meeting materials, and meeting minutes as assigned.
- Assist with travel arrangements and event logistics.
- Maintain departmental filing systems and administrative records.
- Assist with job postings and applicant tracking activities.
- Schedule interviews and communicate with applicants regarding interview logistics.
- Prepare recruitment materials and maintain recruitment documentation.
- Provide administrative support throughout the recruitment and onboarding processes.
- Maintain accurate Human Resources records and electronic databases.
- Assist with internal audits, document management, and record retention activities.
- Monitor employment documentation for completeness and accuracy.
- Maintain the confidentiality of personnel information in accordance with applicable laws and College policy.
- Assist with employee engagement activities, recognition programs, training events, and departmental projects.
- Provide administrative support for benefits enrollment periods and other Human Resources initiatives.
- Perform other related duties as assigned.
Typical Qualifications
Required
Associate degree in Business Administration, Human Resources, Office Administration, or a related field.
- Two (2) years of progressively responsible administrative or office support experience.
- Experience maintaining confidential records and coordinating multiple administrative activities.
- Proficiency with Google Workspace, Microsoft Office Suite and standard office technology.
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Experience in Human Resources, higher education, or public sector administration.
- Experience with HRIS, applicant tracking systems, or document management systems.
- Experience with Ellucian Colleague, NEOGOV, or similar enterprise systems.
Knowledge, Skills & Abilities
Knowledge of:
Modern office practices, administrative procedures, and records management.
- Customer service principles and effective communication techniques.
- Google Workspace, Microsoft Office Suite and standard office equipment.
- Confidential records management and data privacy practices.
- Basic Human Resources principles and employment processes.
- Maintain strict confidentiality and exercise sound judgment.
- Organize, prioritize, and complete multiple assignments with attention to detail.
- Communicate professionally with employees, applicants, students, and the public.
- Prepare accurate correspondence, reports, and employment documentation.
- Learn and apply College policies, procedures, and Human Resources practices.
- Work independently and collaboratively in a fast-paced environment while providing exceptional customer service.
Working Conditions
Work is performed primarily in a professional office environment requiring frequent interaction with employees, applicants, students, and/or the public. Occasional travel between College campuses may be required.
Physical RequirementsRequires prolonged periods of sitting, standing, walking, and operating standard office equipment. Must be able to occasionally lift and carry files, office supplies, and materials weighing up to 25 pounds.
