Primary Responsibilities
- Supervise and establish SS&BS staff work priorities, work schedules, and assignments; conduct annual performance evaluations;
- Manage and coordinate day-to-day operational activities of the Division Office; ensure smooth cross-functional coordination between SS&BS and SOE; assist in developing and implementing division-wide procedures;
- Monitor, maintain, and reconcile program budgets in line with divisional plans and priorities; initiate corrective action; prepare budget status reports; assist in the preparation of grants, budget enhancement proposals, and financial reports;
- Edit, revise, and update faculty workload (FWL) data; work closely with HR and the Office of Instruction to ensure accurate processing of extra-contractual payroll, moonlight assignments, and adjunct contracts; submit and verify time reports for work study students and adjunct faculty; monitor accuracy of payroll and resolve discrepancies;
- Assist in constructing quarterly course schedules; update and maintain comprehensive records of class scheduling, faculty workload assignments, and course enrollments; manage updates and corrections throughout the scheduling cycle from initial draft to final offering;
- Assist the Dean in developing and maintaining partnerships with community organizations, educational partners, workforce development entities, and four-year transfer institutions; support outreach and articulation efforts for program development initiatives;
- Provide administrative coordination for division-wide programming, including speaker and film series, student workshop series, and faculty professional development; support faculty hiring processes, onboarding, and tenure-track committee logistics; coordinate faculty professional development activities and maintain records of PD fund usage;
- Prepare agendas for Division meetings; facilitate collaboration between SS&BS and SOE; represent the Division in institutional meetings and serve as a liaison to other college departments, external partners, and community organizations;
- Prepare reports, correspondence, publications, and promotional materials related to Division programs, initiatives, and strategic priorities; maintain databases and tracking systems for faculty activities, advisory board engagement, partnership development, and community outreach; maintain organized historical records of activities and compliance documentation;
- Use advanced word processing, spreadsheet, database, and statistical software; update and maintain online content for the Division webpages; evaluate inventory and equipment needs for division operations; process orders as needed using Procure+ and/or the P-Card; and
- Perform other related duties as assigned.
Required Qualifications
- Associate's degree or equivalent from an institutionally accredited college or university, or equivalent combination of education/training/experience; and
- Three (3) years of administrative support experience working in position(s) such as an administrative assistant, secretary, program coordinator, program support or related field.
Preferred Qualifications:
- Bachelor’s degree or equivalent from an institutionally accredited college or university, or equivalent combination of education/training/experience;
- Experience in higher education settings;
- Experience with payroll systems, scheduling software, and/or budget tracking tools; and
- Bilingual and biliterate in English and Spanish.
