- Provide administrative support to the Director of Sales and Sales Managers.
- Answer telephone calls and email inquiries professionally and promptly.
- Coordinate all aspects of group reservations from booking through arrival.
- Prepare and distribute Group Resumes and communicate group requirements to hotel departments.
- Maintain rooming lists, group blocks, deposits, cut-off dates, and reservation details.
- Coordinate VIP arrivals, amenities, upgrades, and special requests.
- Communicate effectively with Front Office, Housekeeping, Engineering, Food & Beverage, Banquets, and other departments to ensure successful group execution.
- Maintain accurate information within PMS, CI/TY, and other hotel systems.
- Review group bookings for accuracy and completeness.
- Create, update, and maintain Excel spreadsheets, reports, and tracking tools.
- Monitor group pickup, room block utilization, and booking trends.
- Assist with occupancy forecasting and revenue reporting.
- Analyze group performance, ADR, RevPAR, occupancy, and other sales metrics to support business decisions.
- Identify trends and opportunities that improve operational efficiency and maximize revenue.
- Review guest and client feedback to identify opportunities for continuous improvement.
- Maintain organized client files and confidential information.
- Respond promptly to internal and external requests while providing exceptional customer service.
- Support department projects and perform other duties as assigned.
- High School Diploma or GED required.
- Bachelor's degree preferred in Hospitality Management, Business Administration, Marketing, Communications, or a related field.
- We are willing to train the right candidate who demonstrates exceptional customer service, professionalism, organizational skills, and a strong willingness to learn.
- One (1) to two (2) years of hospitality, group sales, catering, front office, customer service, administrative, or related experience preferred.
Technical Skills
The successful candidate should possess:
- Advanced proficiency in Microsoft Excel.
- Advanced proficiency in Microsoft Word.
- Proficiency with Microsoft Outlook and PowerPoint.
- Experience using, CI/TY, Marriott systems, Property Management Systems (PMS), or similar hotel software preferred.
- Ability to create reports, spreadsheets, dashboards, contracts, proposals, and business correspondence.
- Strong analytical skills with the ability to interpret occupancy, ADR, RevPAR, group pickup, room block performance, and other key performance indicators.
- Ability to learn new software systems quickly and accurately.

- Comply with all Albany Marriott and DHM policies, procedures, and brand standards.
KNOWLEDGE, SKILLS & ABILITIES
The Hotel may consider equivalent combination of acceptable education and experience providing the knowledge, skills and abilities cited below, when applicable
- High School Diploma required; bachelor’s degree preferred.
- 1-2 years administrative support experience, additional hotel front desk experience is preferred.
- Must be self-directed, motivated and demonstrate intuitive customer service and interpersonal skills.
- Effectively deals with internal and external customers, with high levels of patience, tact, and diplomacy.
- Communicates clearly, concisely, and openly in all interactions.
- Has exceptional attention to detail, organizational, analytical and time management skills.
- Multi-tasks and prioritizes in a fast-paced work environment.
- Exercises sound judgment: evaluates situations and utilizes appropriate and creative resources to solve problems.
- Is technologically savvy, with a working knowledge of Microsoft Office, Delphi, PMS.
PHYSICAL DEMANDS
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
