The Role in Brief:
Executive Assistant, Talent and Adult Market (Entry Level)
The Executive Assistant will provide high-quality executive support to the Chief Talent Officer and the Executive Vice President of EAB’s Marketing and Enrollment Solutions Adult Market division, while also supporting select department-wide processes, initiatives, meetings, and events.
This role requires strong judgment, discretion, organization, follow-through, and a thoughtful, collaborative working style. The successful candidate will build strong relationships with the executives and their teams, anticipate needs, communicate clearly, and help ensure the executives are prepared and organized while contributing to the smooth and effective operation of their teams. As the individual develops knowledge of the executives, their teams, and the business, there will be opportunities to take on increasing ownership of team and department initiatives, communications, events, and special projects.
The current opportunity is based in Washington, DC and requires regular in-person presence in the office, generally 2-3 days per week.
Primary Responsibilities:
Executive Support and Calendar Management
- Strategically manage complex executive calendars, gathering context and using sound judgment to prioritize competing requests, understand scheduling dependencies, anticipate needs, protect time for critical priorities, and ensure executives are prepared for key meetings and commitments.
- Coordinate internal and external meetings and, as needed, executive travel, ensuring logistics are well managed and executives have the relevant context, agendas, materials, and other information they need.
- Anticipate executive needs and proactively manage follow-through on commitments, deadlines, and key activities, including reserving work time, providing reminders, and establishing timelines as appropriate.
- Manage day-to-day executive logistics and administrative needs, including tracking and submitting expense reports, coordinating meals and travel logistics, and handling other requests that support executives’ productivity and effectiveness.
- Serve as a key point of contact for senior leaders and their EAs/coordinators, fostering strong relationships and collaborating effectively on calendars, meetings, projects, and events.
- Partner with the Executive Assistant to the CEO and other EAs/coordinators to support executive suite needs and ensure appropriate coverage for executive events, lunches, Board meetings, and other activities.
Meeting, Communications, and Event Support
- Provide end-to-end support for key leadership and department meetings, including agenda development, presenter coordination, preparation of materials and pre-work, meeting logistics, note-taking, and documenting and communicating decisions, owners, and next steps.
- Draft, edit, proofread, and coordinate executive, department, and firmwide communications, presentations, meeting materials, weekly updates, newsletters, and other content.
- Support the planning and execution of department in-days, team gatherings, and special events, including agenda and content development, logistics, communications, presenter coordination, and the attendee experience.
Team and Department Support
- Support select Talent and Adult Market projects, initiatives, and recurring processes, partnering with functional teams on planning, coordination, communications, logistics, execution, and opportunities to improve processes and team efficiency.
- Manage select distribution lists, shared inboxes, calendars, Slack channels, and other department systems and processes, ensuring information is accurate, organized, and appropriately maintained.
Basic Qualifications:
- Bachelors Degree

- Excellent organizational and communication skills
- Comfort asking questions, seeking context, and clarifying expectations to inform work and decisions
- Discretion with sensitive and confidential information and materials
- Experience creating polished deliverables using PowerPoint, Excel, and other tools, with particular strength in refining content for presentation and developing PowerPoint decks from scratch
Ideal Qualifications:
- Experience developing effective systems for organizing work and staying ahead of priorities
- Proven experience managing multiple, competing priorities
- Ability to provide objective upward feedback to managers
- Ability to work and make decisions independently and autonomously
- Comfort communicating with senior executives
- Demonstrated initiative and interest in taking increasing ownership of projects and processes over time.

Compensation:
The anticipated starting salary for this role is $45,000 per year.
