Position Overview
SALARY: $59,760 - $67,704
LOCATION: Lynnwood, Washington
DESCRIPTION:
Within the School of Academic Foundations, the Program Specialist 3 works under general direction and reports to the Director of Basic Skills Students services. This position assists higher-level staff by coordinating all aspects of the I-BEST (Integrated Basic Skills and Training) program; providing technical assistance and specialized consultation to program participants, staff and outside entities; and recommending resolution for complex problems and issues related to the program. This position also performs essential tracking, monitoring, and data collection for I-BEST students, preparing documents, coordinating and scheduling program activities and providing detailed information to students, staff and the public regarding the I-BEST program.
This is a classified position reporting to the Director of Basic Skills Student Services.

Responsibilities include, but are not limited to:

Monitors and tracks student eligibility, participation and completion of program activities.
- Process new student applications and verify that all required enrollment paperwork has been completed
- Process student registration requests and send registration confirmations
- Evaluate alternative placement tool and transcripts to determine program eligibility and standing
- Evaluate and approve students for scholarships, confirming that all requirements have been met
- Create, maintain and manage student files, including academic progression and demographic information
- Maintain accurate case notes, documenting student interactions and administrative activities
- Create and update academic plans accurately and promptly: Accurately follow detailed requirements that vary by program and requirement year
- Use the student management system to run reports, access student schedules, testing, and transcript information to update student folders and to track student progress.
- Create and maintain team resources including registration spreadsheet, drop-ins schedule, email templates, and other team tools

Duty: Provide direct support and training to students within the program¿¿¿¿¿
- Train students on program requirements, including college and financial aid applications and forms
- Provide support and guidance for students in completing their certificate or degree program
- Train students on setting up student accounts and navigating college systems

Duty: Serve as a liaison to other campus office and outside entities to ensure and track compliance with regulations
- Track program requirements for most common destination programs for students (ie LPN and RN program requirements for multiple schools)
- Facilitate and document compliance with SBCTC, federal, state and college regulations
- Communicate with financial aid and other internal and external partners about student eligibility and required steps
- Respond positively to changes in program requirements.

Duty: Provide information to students and the community regarding the program, including participation in outreach events
- Communicate reminders to students about program requirements and events
- Schedule and confirm student appointments
- Schedule and lead classroom presentations
- Develop and lead Financial Assistance and other informational workshops
- Duty: Work collaboratively with team members to streamline and improve systems for increased efficiency and quality
REQUIRED QUALIFICATIONS:
- Two years of administrative or clerical experience, preferably in an education setting OR equivalent experience.
- Demonstrated computer proficiency with Microsoft Office products and Google applications.
- Demonstrated ability to maintain a high level of accuracy and completeness while managing multiple tasks, projects and deadlines
- High level organizational skills: able to effectively manage multiple priorities, problem solve and plan ahead.
- Ability to work effectively with culturally, ethnically and economically diverse populations.
- Proven capacity to efficiently synthesize information from multiple sources, retain critical details and apply new knowledge to practical situations.
- Cultivate and maintain professional and collaborative working relationships in a team-oriented environment

DESIRED QUALIFICATIONS:
- Associates degree
- Four or more years of progressively responsible administrative/clerical experience.
- Experience in program design and change in a fast-paced office environment.
- At least one year of professional experience providing student support services, educational planning, student advising, and/or case management services to adult learners from historically marginalized populations, particularly non-native speakers of English, immigrant populations, low income, and/or first-generation students
