The Office Manager oversees the day-to-day operations of the Los Angeles office, including facilities, vendors, supplies, insurance, business licensing, and onboarding/offboarding logistics for the team. This person will also manage two team members, an Accounting Coordinator and an HR Coordinator, holding sign-off and approval authority over their key recurring deliverables and proactively verifying that work is completed accurately and on time, rather than waiting to be told. Complex HR matters (e.g., performance improvement plans, terminations, compliance issues) are coordinated with the company's external HR consultant. The ideal candidate is a highly organized, flexible self-starter with strong common sense and sound judgment, who identifies what needs to happen next and takes initiative without being asked, and is comfortable managing multiple workstreams and people simultaneously.
Essential FunctionsOffice Management
- Oversee day-to-day operations of the Los Angeles office, ensuring a well-run, professional work environment.
- Manage office vendors, supplies, equipment, and facilities-related issues (repairs, deliveries, building management, etc.).
- Serve as the point of contact for office-related vendor contracts, renewals, and payments.
- Manage insurance renewals and administration (General Liability, Workers' Comp, Cargo, EPLI, Flood), coordinating with the company's insurance broker on deadlines and documentation.
- Manage business license renewals, DBA registrations, fictitious business name filings, and other state-level administrative compliance requirements.
- Coordinate with temp agencies on conversion fees, markups, and candidate placements.
- Coordinate office logistics for team events, meetings, and visitors.
- Conduct research projects as assigned.
- Handle confidential information with the highest level of discretion and professionalism.
- Maintain a flexible, hands-on approach by stepping in wherever needed to keep office operations running smoothly.
Onboarding, Offboarding & HR Coordination
- Manage standard onboarding for new hires, including setting up accounts, logging NDAs and Conflict of Interest forms, and adding new hires to relevant platforms (Slack, Claude, Dropbox, etc.).
- Manage standard offboarding for departing employees, including removing platform access, coordinating final timecards, and notifying payroll.
- Maintain the employee directory, org chart, and platform access sheet.
- Coordinate with the company's external HR consultant on complex HR matters, including performance improvement plans (PIPs), terminations, and compliance issues.
- Support recruiting logistics as needed in partnership with the team member who owns full-cycle recruiting.
- Track and log PTO, sick time, and vacation hours in partnership with the Accounting Coordinator.
Team Oversight & Quality Control
- Provide day-to-day managerial oversight of the Accounting Coordinator and HR Coordinator, including regular 1:1s and workflow check-ins.
- Maintain a master tracker of recurring deliverables owned by these two roles (e.g., payroll submission deadlines, QBO reconciliation cadence, 1099 prep, multi-state filings, onboarding/offboarding checklists) and proactively verify completion rather than waiting to be told something is done.
- Hold sign-off and approval authority on key recurring deliverables from the Accounting Coordinator and HR/People Operations Coordinator before they are considered final (e.g., reviewing reconciliations, filings, and HR documentation prior to submission or close-out).
- Serve as the first point of escalation for questions or issues from these two roles before involving the executive.
- Independently identify gaps, delays, or errors in either role's work and take the next step to resolve them, escalating to the Founder & President only when a decision beyond delegated authority is required.
- Review and approve routine workflow items (e.g., time-off requests, standard invoices) within delegated authority.
- Help onboard and train these team members, and assist in training future new hires as needed.
Working Conditions
This is a full-time, in-office position based in Los Angeles, CA, Monday through Friday. This position requires sitting for long periods of time and occasional local travel for office-related errands (bank runs, supply runs, vendor visits, etc.).

- High degree of discretion and sound judgment when handling confidential and sensitive information.
- Ability to work independently and take initiative without close supervision.
- Flexible and adaptable, willing to take on a wide range of tasks as priorities shift.
Supervisory Responsibility
- Holds sign-off and approval authority over key recurring deliverables of the Accounting Coordinator and HR/People Operations Coordinator, and proactively verifies work is completed accurately and on time.
- Provides day-to-day oversight and serves as the primary point of contact for the Accounting Coordinator and HR/People Operations Coordinator.
- May assist in training newly hired assistants or coordinators.
Required Education and Experience
- Associate’s degree required; Bachelor’s degree in a related field preferred.
- Three to five years of experience in an office management, operations, or administrative role.
- Prior experience overseeing or coordinating the work of other team members preferred.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Ability to travel locally in the Los Angeles area as needed for errands, bank runs, and vendor visits.
