- Reports to: Director of Recruitment
- Department: Admission
- Approved Hourly Rate: $20.14/hour
Job Description:
The Administrative Assistant provides operational and clerical support to the Dean of Admission and the Director of Recruitment in the Office of Admission. This role serves as a primary point of contact and a professional bridge between the admissions leadership team, prospective students, families, high school counselors, and university stakeholders.
Essential Functions:
- Provide administrative and clerical support primarily for the Dean of Admission & Director of Recruitment. Support the daily operations of the Office of Admission. Assist with calendaring responsibilities for the Dean of Admission and Director of Recruitment. Provide support for meetings and campus events.
- Prepare agendas, compile briefing materials, record detailed meeting minutes, and track actionable follow-up items for leadership and committee meetings.
- Draft, proofread, and format official correspondence, policy memos, and recruitment presentations.
- Provide support for Admissions Counselors for comprehensive travel logistics for recruitment loops, conferences, and high school visits, including flights, lodging, itineraries, and expense reporting.
- Serve as a first point of contact for the Office of Admission - Greet visitors, monitor incoming calls, and direct emails and phone calls.
- Process invoices, purchase orders, and reimbursements; track expenditures against the admissions and recruitment department budgets as directed.
- All other duties as assigned.
Job Requirements:
Minimum Qualifications:
- High School Diploma or GED.
- At least 1 year of administrative and/or secretarial experience at a professional level.
- Proficiency with Google Suite and/or Microsoft Office Suite.
- Ability and willingness to provide excellent service and to work in a collegial manner with students, faculty and staff, and other constituencies is essential.
- Excellent oral, written, interpersonal communication skills.
- Proficiency in Google Suite Products (Docs, Gmail, Sheets, Slides, Drive)
- Evidence of a commitment to community and belonging.
- Successful interview.
- Successful completion of background checks.
Additional Information:
Offers of employment are contingent upon the successful completion of reference checks, a criminal background verification, and verification of credentials. The College will coordinate these verifications.
