First-McNess Company is hiring a full-time Business Operations & Executive Support Coordinator for our Rockford, IL headquarters location.
Salary Range: $65,000 - $80,000 (compensation will be determined by relevant experience and the interview process)
Pay Type: Salary, paid bi-weekly
Core Work Schedule: Monday - Friday, 40 hours per week
Work Setting: In-person, headquarters office.

POSITION SUMMARY:
The Business Operations & Executive Support Coordinator provides operational, administrative, and project support to the Commercial team, helping drive efficiency, organization, and execution across sales, marketing, and technical services. This role is responsible for coordinating key initiatives, supporting reporting and analytics, managing meetings and events, preparing presentations and communications, and ensuring projects and action items remain on track. The ideal candidate is highly organized, detail-oriented, analytical, and able to manage multiple priorities.
KEY RESPONSIBILITIES:
Coordinate and support day-to-day operations for the Commercial organization
Prepare and maintain reports, dashboards, and performance metrics to support business decision-making
Collect, organize, and validate sales, operational, and business data
Develop professional presentations, meeting materials, and executive communications
Schedule and coordinate meetings, including agendas, meeting notes, and follow-up actions
Track project timelines, milestones, and deliverables to ensure timely completion
Support cross-functional initiatives involving Sales, Marketing, and Technical Services
Assist with planning and execution of sales meetings, customer events, trade shows, and other commercial activities
Coordinate distribution of marketing and promotional materials as needed
Identify opportunities to improve processes, reporting, and operational efficiency
Performs other duties as assigned
QUALIFICATIONS:
High school diploma or equivalent required
Associates or Bachelor’s degree in Business, Marketing, Communications, or a related field preferred
3+ years of experience in commercial operations, business operations, project coordination, executive support, sales support, or a related role
Strong organizational skills with the ability to manage multiple priorities and deadlines
Proficiency in Microsoft Office, including Excel, PowerPoint, and Outlook
Strong analytical, problem-solving, and critical-thinking skills
Excellent verbal and written communication skills
High attention to detail and accuracy
Ability to work independently while effectively collaborating across teams
Professionalism, discretion, and the ability to handle confidential information
Experience with CRM systems, ERP platforms, business reporting tools, Power BI, or SAP is a plus
Valid driver’s license with an acceptable driving record
Ability to travel as needed

MINIMUM QUALIFICATIONS:
- Be able to succeed within and adhere to the culture of the Furst-McNess Company.
- Ability to perform essential job functions with or without accommodation.
- Education is equivalent to a bachelor’s degree in business administration, or equivalent experience.
- Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management.
- Ability to read, write and speak English proficiently.
- Legal knowledge and background is helpful.
- Proficient in the use of all office equipment.
- Working knowledge of computers and software, including SAP and the Microsoft Office suite.
- Ability to perform assigned duties with minimum supervision or direction and possess a thorough knowledge of work routines.
- Ability to handle information of a confidential nature.
- Excellent communication skills, both oral and written, and capable of utilizing these skills within all levels of the Company as well as externally.
- Ability to provide outstanding customer service to all associates and management staff, showing a sense of urgency relative to solving problems and performing assigned tasks.
- Ability to effectively organize work schedules and manage multiple assignments by utilizing time management skills to ensure day-to-day assignments and special projects are completed within agreed upon guidelines.
- Ability to work as an effective team member. Willingness to pitch in and do work that may not be a specific part of the job description for the overall good of the Company.
- Ability to be flexible and be willing to change along with recommending changes that can enhance our ability to serve both internal and external customers more effectively and in a professional manner. Respect other peoples’ points of view and able to accept constructive criticism.
