Position Summary:
The Project Coordinator supports Project Managers and project teams by providing administrative, logistical, and documentation support throughout all phases of project execution. This role assists with scheduling, reporting, procurement coordination, document control, and communication between internal departments, clients, and subcontractors. The Project Coordinator helps ensure projects remain organized, compliant, on schedule, and aligned with company processes and client requirements. This position plays a key role in maintaining project documentation, preparing reports, tracking progress, and supporting day-to-day operational needs.
Key Responsibilities include the following (Other duties may be assigned):
· Supports Project Managers by coordinating day-to-day project activities, schedules, deliverables, anddocumentation requirements.
· Assists in preparing, updating, and tracking project schedules, status reports, meeting minutes, action items, and project logs.
· Manages document control functions including uploading, distributing, and maintaining current project drawings, specifications, RFIs, submittals, and change documents.
· Coordinates procurement needs by preparing purchase requests, tracking materials, and communicating delivery requirements.
· Communicates with vendors, subcontractors, field teams, and internal departments to relay project information, updates, and required actions.
· Assists with the development and distribution of project reports including cost tracking, progress tracking, productivity metrics, and client updates.
· Ensures timely collection and organization of field reports, daily logs, timesheets, safety documentation, and inspection records.
· Supports quality and safety compliance by helping manage inspection documents, ITP records, NCR logs, and safety forms.
· Assists with mobilization and demobilization planning, including onboarding packets, badging, PPE requests, and travel coordination.
· Help track project budgets by monitoring purchase orders, invoices, change orders, and expense reports.
· Assists in organizing and preparing for project meetings, audits, walkthroughs, and closeout activities.
· Maintains accurate and complete electronic filing systems for all project-related documentation.
· Supports project closeout efforts including turnover packages, as-built documentation, client deliverables, and record archiving.
· Helps identify process improvements related to project workflow, communication, and document management.
SKILLS AND ABILITIES:
· Strong organizational skills with the ability to manage multiple tasks and deadlines.
· Effective written and verbal communication skills for interacting with internal and external stakeholders.
· Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and project management platforms.
· Ability to read and interpret basic project documentation such as drawings, schedules, reports, and specifications.
· Strong attention to detail, accuracy, and documentation discipline.
· Ability to work independently and collaboratively within fast-paced project environments.
· Problem-solving skills and the ability to follow up proactively on action items.
· Familiarity with construction, engineering, or industrial project environments are preferred.
Qualifications:
· High school diploma or GED required; associate or bachelor’s degree preferred.
· One to three (1–3) years of experience in project coordination, administrative support, or related project role.
· Experience supporting construction, engineering, manufacturing, or renewable energy projects preferred.
Physical Requirements:
- Work Environment: This job primarily operates in a professional office setting.
- Physical Demands: This role requires the ability to sit for extended periods while working on a computer. Ability to occasionally lift and carry up to 20 pounds.
