This is not a traditional medical records position.
Instead, you will serve as the primary liaison between Aspire Home Healthcare and physician offices, helping ensure physician orders, Plans of Care, Face-to-Face documentation, and other critical clinical documents are completed promptly. Your work directly supports outstanding patient care, regulatory compliance, and timely reimbursement.

Position Summary
The Physician Relations Coordinator serves as the primary communication link between Aspire Home Healthcare and physician offices.
Success in this role depends on exceptional communication skills, persistence, professionalism, organization, and the ability to build lasting relationships with physician offices while ensuring required clinical documentation is completed promptly.
This role combines relationship management, documentation coordination, customer service, problem-solving, and operational support into one highly impactful position.
Primary Responsibilities
- Serve as the primary liaison between Aspire Home Healthcare and physician offices.
- Develop and maintain strong professional relationships with physicians, office managers, nurses, medical assistants, referral coordinators, and administrative staff.
- Follow up daily on outstanding physician orders, Plans of Care (485s), interim orders, Face-to-Face documentation, and other required clinical documentation.
- Coordinate with clinicians, intake, quality assurance, scheduling, billing, and operations teams to resolve documentation issues quickly.
- Maintain ongoing communication with physician offices through telephone, fax, email, and electronic medical record systems.
- Monitor outstanding physician documentation and proactively work to eliminate delays.
- Scan, upload, label, and accurately index documents into the Electronic Medical Record (EMR).
- Process physician orders, laboratory reports, and other clinical documentation.
- Submit and follow up on Face-to-Face documentation requests.
- Research End-of-Episode reports and communicate findings to appropriate departments.
- Generate daily and weekly reports as requested.
- Maintain complete documentation of all communication attempts within the EMR.
- Assist multiple Aspire Home Healthcare offices as assigned.
- Provide backup telephone coverage for the front office when needed.
- Recommend workflow improvements that enhance physician responsiveness and operational efficiency.

Qualifications
Required
- High school diploma or equivalent.
- Minimum three years of experience in a medical office, physician office, home health, medical records, referral coordination, authorization, intake, scheduling, or related healthcare environment.
- Excellent verbal and written communication skills.
- Outstanding customer service and telephone etiquette.
- Strong organizational and time management skills.
- Ability to multitask in a fast-paced environment.
- Strong computer proficiency.
- Working knowledge of HIPAA regulations.
Preferred
- Home health experience.
- Experience following up on physician orders or Plans of Care.
- EMR experience.
- Medical terminology knowledge.
- Experience working directly with physician offices.
