This role acts as the first point of contact for external and internal interests in education, engagement and volunteer programs. The Operations Coordinator will interact professionally and amiably with guests, program participants, visitors, and staff. The Operations Coordinator is responsible for ensuring the smooth and efficient operation of the Brown Conservation Education Center (BEC) by managing administrative tasks, supporting staff, and maintaining a positive work environment. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced setting. The position's day-to-day duties may vary depending on priorities and demands set by division leadership. Promotes a positive culture of innovation, empowerment, and collaboration to meet the Zoo’s mission.

Job Duties and Responsibilities
- Serves as the first point of contact for program participants, visitors, and guests, while handling inquiries and requests professionally and manages logistics of front-end Conservation Education and Engagement program activities including managing program registration software, assisting with creating rosters, updating participant databases and assisting volunteers.
- Provides logistical administrative support for Wildlife Conservation programs such as Saving Wildlife Training Opportunities.
- Screens and manages multiple email inboxes, mail and central guest inquiry phone line for education programs; responds to guests, provides information, records messages, and redirects communications to the appropriate individuals or departments in a timely fashion.
- Coordinates the process of program cancellations, refunds and rescheduling of all educational programming.
- Oversees facilities-related issues, ensuring the cleanliness and organization of the BEC hall, classrooms, auditorium and conference room, while coordinating timely solutions.
- Manages the coordination of space reservations in the BEC and supports staff with technical guidance of office and technology equipment within the BEC.
- Provides comprehensive administrative support to Conservation and Education division, including managing shared calendars, division meetings, reports, and information dissemination.
- Anticipates and prepares materials for division meetings, including agendas, meeting notes, action items, and polished presentations aligned with organizational standards.
- Gathers, analyzes, and interprets data to support decision-making and organizational goals, creating professional dashboards, presentations, and infographics.
- Manages invoices, expense reports, and purchase orders for the Conservation Education division, ensuring proper coding and approval workflows are followed.
- Manages the supply ordering for a variety of programs and projects within the division.
- Maintains and updates internal communication tools, including Internal division Sharepoint pages, ensuring accurate and current content.
- Maintains and updates educational program webpages in collaboration with program supervisors and coordinators.
- Orders and maintains inventory for BEC copy room and breakroom supplies.
- Handles confidential correspondence and sensitive program participant information with the utmost discretion, maintaining professionalism and trust.
- Contributes to saving animals in the wild through reduction of waste, water, and energy use inspiring guests and staff to take wildlife protecting actions.
- Contributes to other operational priorities as needed.
- Associate degree (AA) or equivalent from two-year college or technical school; or equivalent combination of education and experience.
- 3+ years of experience in administrative support roles.
- Experience in data visualization, analytics, infographics, and creation of board-level materials.
