This is a dual-scope seat combining administrative coordination and legal production. Success requires strong organization, discretion, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. Legal work is performed under attorney supervision.
About the Role
Instinctive Healthcare Solutions operates freestanding emergency departments and clinics across Arizona. The Executive Assistant / Legal Support Paralegal partners with executive leadership and the legal team on a daily basis, providing administrative coordination and legal support in a fast-paced, deadline-driven environment.
Responsibilities
- Provide administrative and operational support to executive leadership.
- Coordinate meetings, calendars, reports, and business documents.
- Prepare agendas and meeting notes; track assignments, follow-ups, and deadlines.
- Draft, revise, proofread, and organize business and legal documents.
- Assist attorneys with administrative appeals, correspondence, and case preparation.
- Conduct legal and factual research at the direction of supervising attorneys.
- Communicate with clients, vendors, court personnel, and other parties at the direction of supervising attorneys.
- Maintain confidential legal, business, and compliance records.
- Support healthcare compliance, HIPAA, and regulatory matters.
- Assist with special projects and other duties as assigned.
Required Qualifications
At least one of the following:
- One or more years of paralegal or legal assistant experience, or
- Paralegal certificate from an accredited program, or
- Juris Doctor (J.D.) degree.
Plus all of the following:
- Prior experience supporting executives, attorneys, or senior leadership.
- Strong writing, proofreading, and follow-through.
- Ability to handle confidential information with absolute discretion.
- Proficiency with Microsoft Office, Google Workspace, and document-management systems.
- Knowledge of legal administrative procedures and court filing protocols.
- Comfort with high-volume document production under deadline.
Preferred Qualifications
- Healthcare industry experience.
- Bilingual (English/Spanish).
- Familiarity with payer appeals or dispute processes.
- Experience with EHR or practice-management systems.
Position Details
