Hospitality & Events Intelligence Coordinator

We manage boutique hospitality properties in Athens, Georgia, where demand is shaped by the University of Georgia's calendar and the city's cultural rhythm. Our approach is proactive, data-driven, and centered on the guest experience — we believe great hospitality starts long before a guest ever arrives, through systems that get smarter over time.
We're looking for a detail-oriented, culturally fluent Hospitality major from UGA to join us as our Hospitality & Events Intelligence Coordinator. Instead of rebuilding a calendar from scratch every year, you'll design a demand intelligence platform that preserves institutional knowledge, tracks historical trends, and compounds in value with every cycle.
Your Mission
Build a demand intelligence platform that gets better every year. Success looks like each academic and calendar year sharpening forecasting accuracy, reducing uncertainty, and improving decisions on pricing, staffing, and guest experience across the whole portfolio.
What You'll Do
Event Forecasting & Platform Development
- Maintain a 12-month rolling Athens & UGA Event Demand Calendar
- Design the calendar as a reusable, annually-updated system
- Track UGA athletics, academic milestones, Greek life schedules, concerts, festivals, and city events
- Tag and analyze weekends and periods with high impact on occupancy, pricing, and operations
Demand Intelligence & Historical Layering
- Sort events by expected demand impact (High / Medium / Low)
- Record confidence levels, lead times, and data sources for each event
- Document post-event insights, including actual demand, booking trends, and lessons learned
- Build a historical reference library to sharpen future forecasts
Research & Signal Capture
- Monitor official UGA calendars, athletic schedules, and Greek Life updates
- Watch Athens venues, promoters, tourism agencies, and regional events
- Pick up on informal signals from student and community channels
Reporting, Handoffs & Continuity
- Prepare demand forecasts monthly and quarterly
- Issue early warnings for high-demand periods (8–12 weeks out)
- Maintain documentation for smooth handoffs to future interns or team members
- Make sure each cycle builds on, rather than replaces, the last

- A living 12-Month Event Demand Calendar, continuously updated
- A Historical Event Impact Log with post-event notes and outcomes
- A Monthly Demand Outlook referencing the previous year's performance
- High-Impact Weekend Briefs, issued 2–6 weeks ahead
- An Annual Demand Intelligence Summary to guide next year's planning
What We're Looking For
- Currently majoring in Hospitality, Tourism, or a related field at the University of Georgia
- Well-versed in UGA traditions, athletics, Greek life, and Athens culture
- Highly organized with a keen eye for detail
- A clear, concise written communicator
- A systems-oriented thinker with an interest in forecasting and strategic planning

Ownership Perspective & Management Collaboration
This role works closely with the Bell Hotel's family ownership and directly with the national hotel management operator, including its reservation and revenue management platform. It supports a shared belief: careful, forward-looking planning, guided by the UGA calendar and Athens' yearly rhythm, builds lasting pricing power and operational transparency.
A core part of the work is helping ownership and management understand which guest groups drive the most demand — visiting families, wedding and social groups, university travelers, athletic and academic visitors, and culturally motivated tourists. Your insights will directly shape future decisions on pricing, availability, and marketing at the Bell Hotel, with a focus on consistency, stewardship, and long-term value.

The Pay
The starting base pay for this role is between $17.00 and is set based on multiple considerations including business needs, market demands, talent availability, experience, and unique skills and attributes. The base pay is subject to change and may be modified in the future. This role may also be eligible for equity, bonus, perks, benefits, and Kasa Travel Credits
