SALES SYSTEMS & TOOLS ADMINISTRATOR
POSITION SUMMARY:
As Sales Systems & Tools Administrator, you'll own the day-to-day administration, configuration, and health of the core systems that power our go-to-market engine — HubSpot, Gong, ZoomInfo/Ringlead, Sales Navigator, Impartner PRM, and our hyperscaler/marketplace tooling. This is a hands-on, systems-and-process role: you'll be the person who keeps workflows running, access clean, data enriched, and stage gates enforced, so the rest of the GTM org can trust the tools they work in every day.
LOCATION: San Mateo, CA
RESPONSIBILITIES:
Systems Administration & Configuration
- Administer HubSpot from an admin perspective: build and maintain workflows, manage user permissions and access, and roll out new processes across Sales and CS Hub.
- Configure and maintain HubSpot approval processes and deal stage gates, ensuring deals cannot advance without required fields or sign-offs.
- Build and maintain custom properties and health score logic within the Customer Success Hub (HubSpot).
- Own the full Gong platform build-out: playbooks, call briefs, forecasting boards, deal boards, and Enablement Essentials setup.
Data Enrichment & Sales Intelligence Tools
- Manage ZoomInfo enrichment via Ringlead, with a focus on populating and correcting Annual Revenue, Sub-Industry, and related firmographic fields.
- Own the HubSpot workflows that use enrichment data (e.g., sub-industry) for segmentation and routing. Administer Sales Navigator and related sales intelligence tools across the GTM org.
Account Conversions & Subscription Management
- Own the end-to-end process for account conversion tickets (customer, partner, internal, POC, and demo use cases), ensuring service subscription records are correctly linked to deals for accurate usage reporting.
- Coordinate with the CS team and other customer-facing teams on conversion requests and troubleshooting.
Partnerships & Hyperscaler Systems
- Manage marketplace health and integration mapping in Suger, including monitoring for downstream effects on hyperscaler partner portals (AWS/Azure).
- Work with the Enablement team to configure and maintain Partner Journeys in Impartner PRM, including managing non-admin permissions and partner enablement content.
Access, Provisioning & Tool Administration
- Manage tool access provisioning and deprovisioning across the software stack for new hires and departing employees, prioritizing security and license hygiene.
- Serve as a key point of contact for IT/tools admin requests tied to sales and GTM systems.
Budget & Vendor Management
- Maintain the master view of software and license spend across the Sales and Marketing tool stack, tracking against budget in partnership with Finance.
Process Documentation
- Create and maintain documentation for sales processes, systems configurations, and admin procedures, ensuring institutional knowledge is captured and transferable.
- Own communication of process changes to relevant GTM distribution lists.
QUALIFICATIONS / SKILLS REQUIRED:
Skills & Experience Required
- Minimum 3 years of experience in sales/revenue operations, systems administration, or GTM tools administration required. Preferably at an enterprise software or technology platform company.
- Hands-on administrative experience with HubSpot (or a comparable CRM) — workflows, permissions, custom properties, and approval/stage-gate logic required.
- Experience with sales intelligence and data enrichment tools (HubSpot & Gong) required. ZoomInfo, Ringlead & Sales Navigator strongly preferred.
- Comfort working across multiple systems simultaneously and troubleshooting cross-tool data/process issues required.
- Strong attention to detail, especially around data accuracy, access security, and process consistency required.
- Excellent written communication skills — capable of producing clear, usable process documentation required.
- Self-motivated and able to manage a broad portfolio of ongoing admin responsibilities with competing priorities required.
- Comfortable being the primary point of contact for tool-related questions across Sales, CS, Enablement, and Partner teams required.
EDUCATION QUALIFICATION:
- Bachelor's degree in Business, Information Systems, or a related field (or equivalent practical experience) required.
Depending on specific professional experience and geographical location of individuals, the salary for this position ranges from $100,000 - $120,000. Additional wage/bonus/commission and benefit details will be shared during the formal interview process for this full-time employment opportunity.
