DEFINITION
Under general supervision, the Senior Health Record Technician performs moderately complex clerical, administrative, and health record maintenance assignments; provides reception support for medical providers and offices within the Health Services Division; and performs related duties as required.
DISTINGUISHING CHARACTERISTICS
This position is part of the Health Record Technician series and is assigned to health record maintenance. Incumbents perform more complex clerical office support work; exercise lead responsibilities over lower-level classifications; and provide technical supervision relating to working with medical providers and patient records while learning and explaining the principles of health data processing, including detailed coding and basic abstracting.
SUPERVISION RECEIVED AND EXERCISED
Receives direction and supervision from assigned supervisory/management staff, including the Health Record Technician Supervisor. Exercises technical lead oversight of lower-level classifications within the Health Record Technician series. EXAMPLE OF DUTIES EXAMPLES OF ESSENTIAL FUNCTIONS
Performs a variety of routine to moderately complex clerical duties and administrative support to the operations of the assigned offices within Health Services.
Updates and maintains client’s medical records and information in the electronic health record.
Reviews, verifies, and updates patient health information for accuracy, completeness, and compliance with regulatory requirements, organizational policies, and accreditation standards.
Schedules, greets, and directs patients to appropriate medical staff and maintains appointment schedules.
Interprets, applies, and ensures compliance with relevant laws, rules, and regulations concerning medical record maintenance are upheld.
Assists in the transfer of protected health information to authorized healthcare providers and stakeholders.
Monitor and assesses provider’s schedule to adhere to client’s program, medication availability, and personal information.
Performs general administrative, data entry, and clerical tasks as required.
Handles financial transactions and processes payments.
Provides clerical support for committees and department meetings as assigned.
Trains, leads, and may direct the work of lower-level classifications.
May perform any and all functions of a Health Record Technician in the employee’s absence or as directed by supervision staff.
Participates in quality assurance (QA) and quality improvement (QI) initiatives, medical record audits, and compliance reviews to identify coding errors.
Collaborates with interdisciplinary teams to implement documentation, corrective actions, and training programs.
Oversees the availability and cleanliness of County vehicles assigned to the department.

Organize and manage medical records, including filing, indexing, and retrieving documents and digital files to ensure accuracy and completeness.
Interpret and apply the use of medical terminology and data in evaluating, creating and auditing medical records.
Provide direction, training, expertise, and advice to lower-level classifications within the Health Record Technician series.
Understand and follow oral and written instructions.
Perform required mathematical computations with accuracy.
Communicate clearly and concisely, both orally and in writing.
Use a computer effectively for communication and records management.
Respond appropriately, effectively, and promptly to the needs of internal and external customers.
Maintain the security and confidentiality of specified records, information and files, including following the rules and regulations relating to the retention and release of medical information to third parties.
Safely operate office equipment.
