The Massachusetts Medical Society (MMS) is the statewide professional association for physicians and medical students, supporting 25,000 members. We are dedicated to educating and advocating for the physicians of Massachusetts and patients locally and nationally. A leadership voice in health care, the MMS contributes physician and patient perspectives to influence health-related legislation at the state and federal levels, works in support of public health, provides expert advice on physician practice management, and addresses issues of physician well-being. Under the auspices of NEJM Group, the MMS extends our mission globally by advancing medical knowledge from research to patient care through the New England Journal of Medicine, NEJM Evidence, NEJM AI, NEJM Catalyst, NEJM Clinician, and through our accredited and comprehensive continuing medical education programs.
The Paralegal/Contract Coordinator provides legal, administrative, and operational support to the Office of the General Counsel. This position serves as the primary coordinator for the organization's contract lifecycle management process while supporting attorneys with routine legal work, governance activities, committee support, and departmental operations.
This role is ideal for an organized, detail-oriented professional who enjoys managing complex workflows, improving processes, and working collaboratively with colleagues throughout the organization. The position offers exposure to a broad range of legal and business matters in a mission-driven healthcare association.
Work Location
This is a hybrid position – at home and in our Waltham office. During onboarding and training, more frequent in-office attendance may be required. Ongoing in-person attendance will be expected for certain meetings, projects, governance activities, and other business needs. Occasional travel within the Greater Boston area may be required.
Responsibilities:
- Contract Lifecycle Management: Coordinate the organization's contract lifecycle management (CLM) process from intake through execution. Manage contract review requests, ensuring complete documentation and appropriate assignment to attorneys.. Maintain contract records and assist with development and maintenance of contract templates and related resources.
- Legal and Paralegal Support: Assist attorneys with the preparation, review, and revision of routine legal documents, including standard agreements and forms. Support legal department projects through document preparation, research, organization, and coordination. Maintain legal files and assist with records management.
- Maintain organization’s multistate corporate registrations, annual filings, and related compliance records.
- Support legal committees and governance activities, including preparation of meeting materials and related administrative support.
- Assist with preparation and coordination of materials for the organization's twice-yearly House of Delegates meeting.
- Provide support for trademark and other intellectual property matters as assigned.
- Coordinate the organization's insurance program by managing applications, certificates of insurance, and related documentation while serving as the primary liaison with brokers and internal stakeholders
- Respond to inquiries from physician members and internal staff in consultation with attorneys and other departments. Provide administrative and office support for the Legal Department, including correspondence, scheduling, document management, and other operational responsibilities.
- Process and track legal department invoices, outside counsel billing, and departmental expenses while maintaining related records
- Additional responsibilities as assigned.
Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- Excellent organizational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Demonstrated ability to manage multiple projects and priorities simultaneously.
- Strong interpersonal skills and the ability to build productive working relationships across the organization.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency with Microsoft Office and the ability to quickly learn new software systems and technologies.
- Strong problem-solving skills and a proactive approach to work.
Preferred
- Paralegal certificate or equivalent legal training.
- Experience working in a law firm, in-house legal department, nonprofit organization, or corporate legal environment.
- Experience with contract lifecycle management systems, document management systems, or similar workflow tools.
- Experience supporting governance activities, committees, or boards.
Compensation:
The target base pay for this role is between $65,000-$75,000. Salary is commensurate with skills, qualifications, and experience.
