The Billing Clerk plays a key role in supporting McAlister Institute’s mission by ensuring accurate, timely, and compliant billing operations across program services. This position requires strong attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced behavioral health environment.

Key Responsibilities:
- Uphold and model the purpose, philosophy, values, and direction of McAlister Institute.
- Conduct monthly DMC eligibility verifications for all active clients by the 5th of each month.
- Provide program staff with required documentation related to client DMC eligibility for inclusion in client files.
- Oversee all aspects of Notice of Adverse Benefits Determination (NOABD) letters, including mailing, documentation, retention, and monthly log updates.
- Assist the Program Manager with tracking, preparing, and submitting third-party billing.
- Collect, log, and secure all cash and credit card payments; maintain receipt books and ensure proper deposit procedures.
- Reconcile daily credit card machine batch reports.
- Assist with weekly program deposits and reconciling the program ledger.
- Collaborate with the Data Entry Clerk and SUD Administrative staff to maintain weekly billing reconciliation.
- Participate in staff meetings, performance reviews, and adhere to agency policies including dress code, scheduling, and timely data collection.
- Maintain a warm, welcoming, clean, and safe environment; ensure equipment remains in good working order.
- Attend all required trainings and maintain up-to-date certifications to ensure ethical, culturally competent, trauma-informed service delivery.
- Follow all personnel policies, including code of conduct, reporting requirements, and training compliance.
- Perform other duties as assigned.
- Minimum 2 years of administrative support experience, preferably in a substance abuse, behavioral health, or clinical setting.
- Demonstrated ability to independently perform data entry, maintain databases, and generate reports.
- Proven success identifying and correcting errors in a high-volume, fast-paced environment.
- Knowledge of (or familiarity with) federal, state, and county confidentiality requirements.
- Experience with electronic health records and/or billing software preferred.
- Ability to pass a drug test, background check, and provide a negative TB test.
- Free of probation or parole for at least one year.
- Clean driving record with minimum two years of driving experience.
- Strong documentation and computer skills; ability to maintain accurate, timely records.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to work effectively as part of a multidisciplinary team.
- Must meet all agency and contract requirements related to training, public health, reporting, and certifications.
- Bilingual proficiency preferred.
