JOB SUMMARY:
The Receptionist is responsible for being the first point of contact for visitors, clients, and employees. They will manage the front desk, handle incoming calls, and assist with administrative tasks. This role requires excellent communication skills, professionalism, and the ability to manage multiple tasks efficiently in a fast-paced environment.
RESPONSIBILITIES:
- Greet and assist visitors, directing them to the appropriate personnel or department
- Answer and direct phone calls to appropriate team members, providing accurate information as needed
- Manage the reception area to ensure it is clean, welcoming, and well-organized
- Handle incoming and outgoing mail, including sorting, distributing, and preparing shipments
- Responsible for weekly lunch organization including clean up
- Organize and clean the break area to ensure a tidy and well-stocked space for employees and guests
- Serve as the primary contact for contract-related matters
- Assist with scheduling meetings and maintaining conference room availability
- Provide administrative support to all departments, including data entry, filing, and document preparation
- Cover for afternoon receptionist as needed
- Assist Executives as needed
QUALIFICATIONS:
- High school diploma or equivalent
- Experience in a receptionist or administrative support role preferred
- Strong verbal and written communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic office equipment (multi-line phone system, copiers, printers, etc.)
- Ability to handle multiple tasks and prioritize workload in a fast-paced environment
- Exceptional customer service skills with a friendly and professional demeanor
- Strong attention to detail and organizational skills
- Able to work Monday to Friday, 7:00 AM to 1:00 PM with occasionally Saturday mornings once per quarter
- Flexibility in schedule may be required occasionally
