TITLE: Office Professional – High School Registrar/Counseling Category II
JOB SUMMARY: This person performs office functions for the counseling office. This person is also responsible for keeping, updating, and verifying all student records.
REPORTS TO: High school assistant principal and the lead administrative assistant
TERMS OF EMPLOYMENT: Full time, Monday through Friday, 260 days per year; Breaks; Monday – Thursday 10 hours per day.
EVALUATION: Yearly first two years, then every three years following satisfactory evaluation.
QUALIFICATIONS:
- Must be able to pass a background check.
- Education:
- Required: Must be a high school graduate or have a G.E.D. equivalent.
- Preferred: One year of additional technical/business training or its equivalent.
- Training and Experience: One or two years of progressively more responsible office experience is required.
- Must be efficient with computers, various software applications, and related technologies. Experience with Microsoft Office and Google Suite applications is required.
- Public Relations Skills: Ability to relate to school-age children, parents, teachers, and members of the community.
- Possess well-developed problem-solving skills.
- Safeguard all district data.
- Ability to establish rapport and maintain appropriate relationships with students, staff, and parents.
- Possess sound, independent judgment, including handling of confidential matters.
- Ability to adapt to changes in plans or activities on short notice.
ESSENTIAL FUNCTIONS:
- Maintain all student records, CA-60 folders, and immunization records (MICR)
- Process student enrollment changes and withdrawal requests
- Create, update, and edit student transcripts.
- Provide building-level assistance with Federal and State reporting.
- Process transcript, CA-60, and graduation requests
- Maintain Parchment and process transcript requests.
- Process report cards and grade corrections
- Enter grades for concurrent and dual-enrolled students.
- Organize and manage standardized and district test preparation.
- Create and process all information pertaining to Honor Programs, National Honor Society, and Commencement
- Assign and manage student locker data.
- Maintain scholarship materials.
- Update the School’s Profile
- Navigate SchoolPay
- Manage Counseling Office media (newsletter, social, digital)
- Process book rebinds
- Process Personal Curriculum Forms
- Fine motor skills and ability to lift up to 50 pounds unassisted, to lift and move equipment and supplies.
- Ability to perform the physical requirements of the position with reasonable accommodations.
- Able to ride in a vehicle, as necessary (e.g., training on occasion)
- Able to work indoors during all seasons/weather/temperatures as permitted.
ADDITIONAL FUNCTIONS:
- Ability to work independently with minimum supervision.
- Ability to plan, coordinate, and prioritize work effectively.
- Communicate effectively via district-assigned email on a daily basis as determined by the supervisor.
- Accurately complete electronic time sheets and absence reporting via the timekeeping system, per assigned deadlines
- Regular and reliable attendance
- Consistent and reliable performance of job responsibilities
- Perform other job responsibilities deemed appropriate by the supervisor/building administrator and/or Superintendent.
