Job Summary:
The IT Project Coordinator supports the IT Project Manager in organizing, tracking, and maintaining multiple technology-related initiatives across the organization. This role serves as a key support function to ensure projects remain structured, properly documented, and aligned with established timelines and governance standards.
Duties/Responsibilities:
Maintain project task lists, ensuring all tasks have clearly defined owners, due dates, and status updates
Track progress of assigned activities and follow up with team members to ensure timely completion
Identify and communicate delays or risks to the IT Project Manager
Maintain and update project plans, trackers, and dashboards within Smartsheet
Ensure accuracy, completeness, and consistency of project data across all active initiatives
Update task dependencies, timelines, and status changes as projects evolve
Create and maintain comprehensive project management documentation, including project charters, task plans, decision logs, and status reporting materials
Ensure documentation aligns with organizational standards and established governance processes
Support enforcement of project intake, tracking, and communication protocols
Schedule and coordinate meetings as needed to support project activities
Capture and distribute meeting notes, ensuring clear documentation of decisions, action items, and assigned responsibilities
Assist in the preparation of project status updates and stakeholder communications
Collaborate with internal teams to ensure alignment of tasks and deliverables across projects
Maintain organization of project artifacts and documentation within shared repositories
Attends, participates, and/or assists in meetings, trainings, community outreach activities, continuing education opportunities, and other activities as required.
Performs other related duties as assigned.
Required Skills/Knowledge/Abilities:
Strong organizational and time management skills
High attention to detail and commitment to data accuracy
Ability to manage multiple tasks and priorities simultaneously
Strong written and verbal communication skills
Ability to follow defined processes and maintain structured documentation
Proactive approach to task follow-up and accountability
Experience working with project tracking tool (e.g. Smartsheet or similar) preferred
Experience working within structured workflows or task management environments preferred
Familiarity with ticketing systems
Education and Experience:
Required:
High school diploma or GED
Preferred:
Associate or bachelor’s degree in business, information technology, or related field, or equivalent work experience
Experience in an administrative or project support role
Exposure to healthcare, IT, or construction-related work environments
Other Requirements:
New Hires are required to pass pre-employment background check and drug testing (effective 10/01/2025)
Must reside within the state of Arizona
