Oklahoma City Indian Clinic (OKCIC) is a non-profit corporation that provides culturally sensitive health care to the American Indian population. OKCIC services include not only basic medical care but also dental, optometry, behavioral health, fitness, nutrition, and other family programs.

Oklahoma City Indian Clinic is hiring an Administrative Assistant in our Dental Department. This position is responsible for maintaining an accurate, up-to-date database in patient registration within EHR/RPMS and Dentrix. The Patient Relations Representative will perform dental receptionist duties, including management of appointments and telephone calls.
Applicants claiming Indian Preference must complete the full application and must provide documentation verifying eligibility (such as a tribal enrollment card or Certificate of Degree of Indian Blood (CDIB)).
Job duties include, but are not limited to:
- Performs dental receptionist duties, including answering, transferring, and referring phone calls; makes appointments for providers and adjusts/cancels patients at providers’ request; greets and routes patients and visitors; informs providers when their patients have arrived
- Organizes routine daily work (charts are prepared the day before if needed). Health history and treatment plans are recorded for charts; efficient navigation of the Electronic Dental Record (EDR) software and RPMS/GUI, or any other necessary software.
- Greet patients as they arrive at the registration area; obtain registration information, including demographics and third-party coverage details. Explain billing and payment processes to patient and family members.
- Assist patients with the completion of new and annual renewal forms required to access services. Explain each document and obtain signatures. Forms include Service Agreement; Consent to Treat Minor Child; Notice of Privacy Practices; Assignment of Benefits; Advance Directive; Broken Appointment Policy; and Medicare Secondary Payer (MSP) forms.
- Distribute current Notice of Privacy Practices and Patient Information brochures regarding Patient’s Rights and Responsibilities, Advance Directive, Patient’s Grievance Procedures, etc.
- Verify Medicaid eligibility via online Oklahoma Health Care Authority (OHCA) eligibility verification system on the date of service, using the patient’s Social Security and/or Medicaid information; update Medicaid status in RPMS/GUI system, including termination date.
- Verify Medicare and private insurance eligibility through designated website resources to determine if insurance is active or terminated. Screen patients for Health Insurance Marketplace eligibility and refer eligible individuals/families to a Benefits Coordinator for further assistance.
- Determine eligibility for Oklahoma Medicaid programs (SoonerCare, SoonerPlan, Insure Oklahoma, etc.) and assist with applications. Submit SoonerCare applications online in a timely manner and conduct ongoing follow-up.
- Provides direction for patients; explains clinic policies; facilitates patient flow; acts as liaison for patient conflict resolution. Ensure that on patient arrival, they are given the correct paperwork (health history) to begin filling out while in the waiting area.
- Scan administrative document types into the patient record using the VistA Imaging Capture client according to quality assurance standards. Documents include registration forms, insurance cards, Medicare cards, driver’s licenses, CDIB cards, tribal membership cards, eligibility documents, birth certificates, death certificates, and pertinent court documents, such as guardianship, divorce decrees, and marriage licenses.
- Provides clerical and administrative support services, including typing drafts, memoranda, letters, reports, time schedules, committee minutes, travel forms, training forms, patient referral forms, manual policies and procedures, and dental standards
- Post upcoming events, including meetings and in-service for dental staff.
- Trains new employees in the use of the appointment system, forms, and general clerical duties related to the Dental Department.

- Minimum of one (1) year of hands-on dental office experience required, including experience in dental assisting, dental billing, or dental front office/administrative operations
- Working knowledge of dental terminology, dental procedures, and overall dental practice workflows strongly preferred
- Proven experience with patient scheduling and appointment management in a dental office setting required
- Computer proficiency required, with experience in Dentrix dental software strongly preferred
- Demonstrated excellent customer service and patient care skills, with the ability to communicate effectively with patients and team members
- Ability to multitask and prioritize in a fast-paced dental clinic environment while maintaining accuracy and attention to detail
