Position Summary

The School of Nursing (SON) Programs Support Coordinator delivers comprehensive secretarial, administrative, operational, and academic support to ensure the effective operations of the BSN, RN-BSN, MSN, and PG-APRN certificate programs. This role provides essential assistance to students, faculty, and program leadership by coordinating daily program operations, maintaining compliance and accreditation documentation, and fostering an efficient and welcoming learning environment. The coordinator plays an integral role in promoting student success, program quality, and CCNE accreditation readiness, while also serving as the front desk administrator and overseeing Wisner facilities operations.
Essential Duties and Responsibilities
- Organize, maintain, and update School of Nursing files, records, and other documentation as requested.
- Maintain program calendars, schedules, and meeting logistics (including proctored exams and special events).
- Schedule meetings and manage the Associate Dean’s appointment calendar.
- Prepare agendas and take minutes for School of Nursing, and other meetings as assigned.
- Take minutes for BSN Curriculum, RN-BSN Curriculum, MSN Curriculum, Evaluation Committee, and meetings as assigned.
- Assist in the preparation of reports, surveys, and data requests for the Associate Dean and program leadership.
- Schedule travel arrangements for the Associate Dean, and other program leadership as needed.
- Provide general administrative support to the Associate Dean, and all other program leadership.
- Provide general administrative support to BSN faculty and students.
- Assist the School of Nursing with procurement and requisitions.
- Process purchase orders, supply requests, and reimbursement documentation.
- Order and maintain office, lab, instructional supplies and faculty resources for all programs, including those related to FNP Immersion experiences.
- Coordinate equipment scheduling with IT/Media Services.
- Schedule and coordinate online and in-person proctored exams, including availability to respond to testing issues outside normal business hours for urgent proctoring issues.
- Set up and administer examinations for the BSN program, including administering the entrance exam at least twice per semester (occasionally outside standard business hours).
- Assist BSN students with the NCLEX application process and release procedures.
- Collaborate in the maintenance NCLEX pass-rate tracking and reporting data.
- Work with the Admission, Progression, and Retention Committee to prepare and send progression letters each semester.
- Support student communications and engagement initiatives, including collaboration with the Nursing Student Association and Kappa Sigma.
- Initiate and maintain faculty peer-to-peer evaluations and faculty mentoring documentation.
- Support CCNE accreditation readiness efforts by maintaining required documentation and reports.
- Assist with planning, coordinating, and executing events, including FNP Immersion, Orientations, Pinning Ceremony, Homecoming Nursing Tea, Kappa Sigma, and other School of Nursing events, occasionally outside normal business hours.
- Order catering and supplies for meetings and events as needed.
- Serve as the receptionist for Wisner Hall for Nursing, greeting and assisting visitors and callers.
- Schedule rooms for non-classroom activities for faculty and students.
- Provide administrative oversight for the Wisner Building Safety Team (BST) and serve as a liaison with the Office of Emergency Management.
- Supervise work-study student employees.
- Work closely with the Registrar’s Office, Admissions, Information Technology, and other university departments to support program operations and student success.

Additional Information
EDUCATION
- Associate degree required; Bachelor’s degree preferred.
- Experience in higher education and/or healthcare strongly recommended.
- Experience supporting academic programs, accreditation activities, or clinical education is desirable.
WORK ENVIRONMENT
This position is based in an office located in Wisner Hall for Nursing on the Bourbonnais campus. Some responsibilities may require availability outside standard business hours, including evenings or weekends, to support examinations, events, or urgent operational needs.
SUPPLEMENTAL INFORMATION
The salary for this position is $20.00 per hour. Additional consideration will be made for relevant experience and educational background.
