Duties

• Provide exceptional customer service via phone, email, and in person, ensuring each client feels valued and understood
• Manage multi-line phone systems efficiently to direct calls accurately and respond promptly to inquiries
• Utilize office management software such as QuickBooks Online, Service Titan Microsoft Office (Word, Excel), and Google Workspace to document interactions, update records, and prepare reports
• Handle data entry tasks with precision, maintaining organized spreadsheets and filing systems for easy access
• Support front desk operations by greeting visitors, scheduling appointments, and managing calendar appointments with attention to detail
• Assist with clerical tasks including proofreading documents, filing paperwork, and maintaining office supplies
• Communicate effectively with clients and team members to ensure smooth daily operations and high productivity levels

Qualifications

• Proven experience in customer service or administrative roles within an office environment
• Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry software
• Familiarity with QuickBooks Online, Service Titan or similar bookkeeping/accounting software is a plus
• Excellent phone etiquette with experience managing multi-line phone systems and providing clear communication
