Position Summary:
The Operations Assistant supports the smooth functioning of office and fleet operations, ensuring that daily logistics, inventory, maintenance, and event support tasks are completed efficiently. This role requires strong organizational skills, attention to detail, and the ability to coordinate across teams.
Key Responsibilities:
A. Inventory Management:
- Conduct weekly inventory checks of office supplies, kitchen items, and sanitation products.
- Submit replenishment requests to the procurement team as needed.
- Research and obtain quotes for maintenance services (e.g., plumbing, repairs).
- Schedule and coordinate maintenance appointments.
- Report office maintenance issues to the manager and liaise with the landlord when necessary.
- Assist with furniture assembly as required.
- Assist in planning and organizing office events, ensuring logistics, supplies, and equipment are prepared and functional.
- Maintain the company vehicle, including weekly car washes and routine checks.
- Schedule and manage service appointments for the company car.
- Inspect the vehicle before and after use, reporting any issues to the Fleet Operations Coordinator.
- Collect and manage drivers’ license information for employees using company vehicles.
- Provide instructions to new drivers on proper use of company gas cards.
- Update vehicle usage and maintenance records as required.
- Serve as a liaison between the office and landlord for operational needs.
- Communicate operational issues or requests to the manager and provide support as needed.
- Proven experience in office administration or operations support.
- Strong communication skills and ability to coordinate with multiple teams.
- Highly organized with attention to detail.
- Ability to prioritize tasks and manage time effectively.
- Comfortable making calls, arranging appointments, and coordinating services.
- Familiarity with vehicle maintenance processes is a plus.
- Ability to handle confidential information, such as drivers’ licenses, with discretion.
