- Serve as the first point of contact for the Academics and Student Experience Office and contribute to the leadership of the division by offering a high level of hospitality, responsiveness, care, and professionalism.
- Manage the day-to-day operations of a high volume divisional office.
- Respond to and prioritize Provost and ASE Office inquiries and engagement based on potential implications and impact on community members and divisional/university priorities.
- Manage the general divisional office calendar and the Provost and Senior Vice President’s calendar in consultation and collaboration.
- Create communication pathways and archiving systems for multiple modalities of incoming communication.
Communication and Event Management
- Manage communications for the division including creating timely, relevant, and accurate content.
- Lead scheduling, event and activity planning, and marketing for the ASE Office and for ASE leadership team members.
- Oversee and manage a wide range of ASE Office websites, online documents and forms, news posts, and social media. To date, this includes FYEP, IHON, General Education, New Faculty Orientation, Faculty Resources, Undergraduate Research and Creative Projects Showcase, and Assessment websites.
- Curate and collect material for the monthly ASE & Faculty Newsletter; design and distribute the newsletter.
- Provide direct support for communication, registration, website creation and maintenance, and coordinate planning related to executing divisional annual events, including:
- New Faculty Orientation – with Associate Provost of Undergraduate Programs and Dean of Inclusive Excellence.
- Pre-Conference Workshops – with Associate Provost, Dean of Inclusive Excellence.
- University Conference – with President’s Office.
- Faculty Fall Conference – with Associate Provost of Undergraduate Programs, Dean of Inclusive Excellence, Faculty Affairs Committee.
- Dr. Rae Linda Brown Undergraduate and Research Projects Showcase – with Associate Provost of Undergraduate Programs.
Academic Process Support
- Schedule, coordinate and attend meetings of Provost’s Academic Council, compiling minutes and notes for distribution.
- Support, gather and track documents, and facilitate annual deadlines:
- Sabbatical requests & reports – with Senior Manager for Faculty Affairs and Governance Operations.
- Annual Unit Reports (from academic units) – with leadership for Inclusive Excellence and Core Curriculum.
- Receive and manage nominations for Faculty Excellence Awards and Regency Advancement Awards.
- Prepare meeting and board book materials for the ASE division and related committee(s) of the Board of Regents. Attend and take minutes at the committee meeting.
- In collaboration with the Senior Manager for Faculty Affairs and Governance Operations, maintain faculty files, department files, general office files, and archives.
- Handle, store, return, and dispose of confidential information and materials according to FERPA regulations.
- Support division-wide administrative needs (e.g., support for colleges during staffing transitions).
Resource Management and Stewardship
- Monitor ASE divisional financial accounts, create budgetary reports, reconcile account expenses, and maintain related records.
- Prepare and submit requests for cash reimbursements, payment requests, and travel related expenses.
- Serve as Purchasing Card Reviewer and Reconciler for the ASE Office.
- Coordinate with HR for new contract creation and processing of moving allowances.
- Perform other duties as assigned.

- Finalist candidates must successfully complete pre-employment background checks.
- Bachelor’s degree.
- Previous office management experience in a high volume setting serving a wide range of constituents.
- Prior experience with communicating effectively in multiple modalities, event planning, and advanced budget management.
- Ability to lift and maneuver 20 lbs.
