Operations & Quality Coordinator
Help Lead One of Minnesota's Premier Pool Service Teams
Premier Pool & Spa is looking for a highly organized, proactive, and customer-focused Weekly Pool Service Coordinator to oversee the day-to-day operations of our recurring pool maintenance program.
This position is more than scheduling appointments—it's about ensuring our technicians have everything they need to succeed, identifying recurring customer or maintenance issues before they become problems, and continually improving our service processes. If you enjoy organization, problem solving, coaching others, and making systems run more efficiently, this could be an excellent opportunity.
Primary Responsibilities
Service Operations
- Coordinate and schedule weekly pool service routes.
- Reschedule technicians and customer visits when staffing or weather requires adjustments.
- Schedule follow-up visits as needed.
- Monitor daily technician progress and ensure routes are completed successfully.
- Verify technicians are following company procedures and quality standards.
- Identify opportunities to improve service processes and implement operational improvements.
Customer Communication
- Serve as the primary contact for our recurring Just Swim and Just Soak maintenance programs.
- Respond promptly to customer phone calls, emails, text messages, and Telegram messages.
- Keep customers informed of scheduling changes, follow-up visits, and service recommendations.
Quality Control
- Monitor customer accounts for recurring issues such as:
- Pools remaining cloudy.
- Repeat follow-up visits.
- Ongoing water chemistry concerns.
- Monitor technician performance by identifying trends, including:
- Consistently high or low chlorine readings.
- Recurring water quality issues.
- Opportunities for additional coaching and training.
- Work with technicians to improve consistency and maintain high service standards.
Maintenance Coordination
- Update service routes to provide optimal efficiency of drive time, taking follow ups into account.
- Ensure routine maintenance items are identified and scheduled promptly.
- Coordinate repair recommendations and follow through on customer approvals.
- Verify technicians have the chemicals, tools, and replacement parts needed before leaving for their routes.
- Track recurring equipment needs, such as frequently replacing nets, poles, or other supplies, and help research more effective products or solutions.
Team Support
Taking care of weekly clients on its own is not currently a full time position, so you will likely do similar tasks in other roles. Some examples are:
- Using your expertise in water chemistry and care to assist the retail team during busy periods.
- Be the back up to the Repair Service Coordinator, assisting their customers and technicians in the same way as you do Weekly Service.
- Support other office and service operations as needed.
- Help pull parts for service jobs and refill parts bins.
- Process Warranties
- Organizing Service Vehicles
- Because we are a small business, responsibilities may expand based on seasonal needs and individual strengths.
Qualifications
- Excellent organizational and multitasking skills.
- Strong communication and customer service abilities.
- Ability to identify patterns, solve problems, and improve processes.
- Comfortable coordinating multiple technicians and schedules.
- Intermediate computer skills.
- Ability to learn pool and spa equipment, water chemistry, and service procedures.
- Previous experience in scheduling, dispatching, customer service, or the pool and spa industry is preferred but not required.
Hours
Typical hours are:
- Monday–Friday
- Approximately 7:30 AM–4:30 PM (schedule may vary seasonally)
- Adjustments can be made to accomodate earlier or later start and end times.
