The Administrative Assistant is responsible for supporting business operations through administrative tasks, as well as providing courteous and professional direct interaction with prospective and current customer tenants. This position is often the face of Real Property Management Diversified. This role interacts with every unit of the business and is the key to achieving effective communication across the organization.
ESSENTIAL RESPONSIBILITIES
1. Providing administrative support for the Leasing Agents and Property Managers
2. Handling general telephone and walk-in inquiries
3. Maintaining the prospective tenant database and confirm showings
4. Establishing Landlord and Property Files for newly managed properties-preparing and forwarding letters to statutory bodies
5. Assisting the Property Manager with applicant courtesy calls
6. Tenant check-in and move-out
7. Maintaining and managing property keys
8. Entering management agreements/creating portfolios and properties
9. Attending and participating in office meetings
10. Attending and participating in training sessions as directed by the Manager
11. Adhering to all procedures required in this role
12. Providing feedback for and participating in the continuous improvement of procedures and processes
13. Other duties as assigned
PERFORMANCE EXPECTATIONS
1. Administrative support, reporting, and data entry timelines met
2. Established customer service standards maintained
3. Tenancy database maintained in an accurate and timely manner

- Report from the Office Manager
Skills:
- Good typing skills
- Internet and computer savvy
Pay will be based on experience
