Engineering Office Assistant

Engineering Office Assistant
Full Time - Day Shift
The Engineering Specialist is responsible for the clerical duties and daily operations of the Engineering Department computer systems.
Education:
High school graduate or equivalent.
Experience:
Previous clerical experience and knowledge of computers preferred.
Duties and Responsibilities
Provides assistance, guidance and direction for employees and visitors; ascertains nature of business and refers to appropriate personnel.
Receives, handles and transfers phone calls and messages promptly and with courtesy.
Maintains, assesses need and orders supplies as needed; in–stock supplies ordered weekly.
Opens and routes incoming mail; distributes correspondence and materials.
Copies materials as requested and/or needed maintaining adequate copies of standard forms used in department.
Assists with the preparation of reports and organizational communications.
Maintains files efficiently and ensures that records are current and easily retrievable.
Works with Hospital IT staff to ensure Engineering computer systems are running efficiently.
Keeps Siemens Insight computer system properly updated.
Changes temperatures for the Hospital upon request.
Keeps departmental inventory at established levels through work order review.
Maintains Engineering Purchase Order log and orders materials as needed.
Updates M Pulse system daily recording supplies used and added back to inventory.
Processes and assigns account number to invoices according to regular, contract, construction, yard or travel status.
Distributes written and phone call Work Orders to appropriate Mechanic promptly to ensure steady work flow.
Enters Work Order status into AMMS system and distributes reports to departments monthly.
Monitors repeat and overdue Work Orders and communicates to Engineering Manager for
Enters completed data from Preventative Maintenance cards, recording completion date, time and cost, person responsible for; generates Work Order for needed follow-up.
Prepares monthly report to identify incomplete PM’s and forwards to Engineering Manager for follow-up.
Generates PM’s for following month and distributes to appropriate personnel.
Ensures that Joint Commission files are current.
Works with other departments to keep Joint Commission files current.
