Texas Biomed is seeking an Administrative Assistant II – Environment, Health & Safety to provide support and coordinate day-to-day administrative duties relative to the EHS office.
The Role:
70% Responsible for the Occupational Health Program:
- Distribute and review new/rehire/transfer-employee health Risk Assessment forms, annual health questionnaires, schedule physicals and other clinic visits, and coordinate annual clinic visits (TB testing, and flu shots).
- Manage Occupational Health Outlook calendar and send vaccination and testing reminders
- Communicate with supervisors and clinic on Occupational health requirements
- Relay Occupational Health records to HR
- Maintain Occupational health record database
- Maintain relevant Standard Operation Procedures (SOPs)
- Process invoices from the health care provider
- Ensure data accuracy and confidentiality
10% Manage EHS purchase orders, supplies, and invoices:
- Performs general office duties, such as ordering supplies and receiving and processing invoices.
- Maintains and inventory office supplies for assigned area, and completes purchase requisitions for office supplies, as required.
10% Event Coordination:
- Prepares agendas and makes arrangements, such as coordinating catering for luncheons or supplied needed for training.
- Prepare materials required for safety outreach including, but not limited to, annual health fair and TIDES safety month
10% General Administrative Duties:
- Files and retrieves corporate documents, records, and reports.
- Greets visitors or employees and provide initial assistance as necessary.
- Answers phone calls and direct calls to appropriate parties or take messages.
- Distributes and opens mail, as required. May receive and route paperwork, supplies, equipment and other materials.
- Establishes, maintains, and retires various files, including confidential files, as required.
- Composes or types correspondences or documents (e.g., proposals, grant and contract applications, memoranda, or other materials) using a word processing and spreadsheet applications.
Our Ideal Candidate:
- Required: High school diploma or GED. Preferred: Sixty (60) hours or Associate Degree from an accredited college or university with an interest in General Business, Management or Office Systems Technology is preferred.
- Manage data confidentiality for Occupational Health records
- Three or more years of job specific experience. Candidate should have at least two years in an Administrative Assistant I or similar position.
- Must have well-developed organizational skills. Knowledge of complex work routines, rules, procedures or operations, ability to operate higher-level specialized equipment.
- Must be self-motivated; valid driver’s license; willing to work occasional overtime, weekends, holidays
- Computer knowledge (to include Adobe Acrobat and Microsoft Office suite- Word, Excel, Access, Outlook)
- Preferred: Previous experience working in an animal research facility.
