Purpose and Scope
The Ministry Events team supports member-leaders by delivering high-quality experiences, timely correspondence, and bringing expertise that ensures alignment with the Association’s policies, procedures and vision. The Ministry Events Coordinator serves the Association by ensuring the services and products delivered reinforce the vision of the Association and its ideals of balancing spiritual preparation and practical ministry through The Gideons International.
The Ministry Events Coordinator is responsible for ensuring event platforms operate properly and coordinates the timely delivery of digital and print products. Primarily the coordinator will oversee the event registration platform(s) ensuring they are set-up properly, launched timely, and the data is reported as needed and on a regular cadence. Additionally, the coordinator will ensure the production process for approximately 200 resources (print & digital) flows through a specified process that obtains input and approvals from the appropriate parties.
The successful Ministry Events Coordinator will possess strong organizational skills, strong interpersonal skills, is detail oriented and able to communicate effectively at all levels of the organization. The coordinator must demonstrate the ability to handle several simultaneous requests with grace and professionalism.
- Coordinates the development of the registration platform ensuring it launches on time and contains all needed content.
- Distributes various registration reports regularly and as needed.
- Ensures the timely posting of event resources before and after each event.
- Coordinates the event website(s) ensure they are launched timely and resources are posted timely.
- Initiates and drives the production process of digital and print resources in support of the Program Committees and Steering Committees.
- Maintains event inventory including registration supplies, preschool supplies, road cases, re-usable signage, decorations, etc. replacing and disposing as necessary.
- Initiates and drives the production process of digital and print resources requested by the Auxiliary Advisory Committee and the International Auxiliary Cabinet.
- Coordinates communication between the event registration developer and the leaders of regional events maintaining an accurate log of users.
- Reviews and reports on the usage of the registration platforms by regional associations.
- Coordinates the development of the registration platform ensuring it launches on time and contains all needed content.
- Ensures the timely posting of event resources before and after each event.
- Coordinates closely with the Program Committee Secretary to ensure deliverables are initiated and completed on time.

Works Closely With: Director, Sr. Event Planner, Event & Program Planner & other TGI Headquarters Staff

- Associate’s degree in hospitality or event management or equivalent experience
- 1-3 years of project management or event planning experience
- PC experience, especially in Microsoft Office applications
- Successful completion of a drug and background screen
