About the Role
The Talent Acquisition Operations Coordinator, Onboarding (Contract) is a long term contract role responsible for coordinating a seamless, efficient, and welcoming onboarding experience for new employees joining the Port Authority of New York and New Jersey. This role partners with Talent Acquisition, Human Resources, Benefits, HRIS, hiring managers, and other stakeholders to ensure new hires are prepared for a successful start and receive a consistent, high-quality onboarding experience. As a member of the Talent Acquisition Operations team, this position plays a key role in supporting onboarding operations while developing the knowledge and relationships needed to help strengthen the program over time.
Responsibilities
Coordinate the end-to-end onboarding process for new hires from offer acceptance through first day, ensuring timely completion of required tasks and documentation.
- Plan, coordinate, and facilitate New Employee Orientation sessions, including scheduling, logistics, materials, and coordination with presenters.
- Serve as the primary point of contact for new hires throughout the onboarding process, providing timely communication, guidance, and support.
- Monitor onboarding activities to ensure compliance with organizational policies and pre-employment requirements, including employment eligibility documentation and required onboarding activities.
- Maintain onboarding procedures, standard operating procedures, templates, training materials, and other operational documentation to support a consistent onboarding experience.
- Become an expert in our new hire platform, Jobvite Onboarded, to track onboarding activities and maintain operational records to support program oversight, and operational effectiveness.
- Develop a thorough understanding of onboarding processes and, over time, contribute recommendations to improve the efficiency, consistency, and effectiveness of the onboarding program.
Minimum Qualifications
Bachelor's degree or an equivalent combination of education and professional experience.
- A minimum of two (2) years of professional experience supporting Human Resources, Talent Acquisition, recruiting coordination, employee onboarding, customer service, hospitality, operations, or another role requiring coordination of multiple stakeholders in a fast-paced environment.
- Experience coordinating multiple priorities, projects, or operational processes while maintaining a high degree of accuracy and attention to detail.
Desired Qualifications
Experience coordinating employee onboarding, orientation programs, recruiting operations, or other customer-facing operational programs.
- Working knowledge of e-Verify, applicant tracking systems, human resources information systems, onboarding platforms, or similar workflow management systems.
- Demonstrated ability to remain organized, adapt quickly, and provide exceptional customer service while managing competing priorities in a fast-paced environment.
- Strong communication and relationship-building skills with the ability to collaborate effectively with employees, hiring managers, and cross-functional stakeholders.
- Demonstrated ability to proactively identify and resolve operational issues while maintaining a positive employee experience.

This is a contract position with an expected hourly range between $26 - $42 per hour.
In accordance with Port Authority policy, this position permits employees to work remotely a maximum of one day per week. In person collaboration is essential to how the Port Authority conducts business, and regular in-office days or team collaboration days may be required on business needs.
