The University of Texas at Dallas Student Union Event Coordinator is a member of the Meeting and Event Planning team within a dynamic, multi-faceted department. Reporting directly to the Assistant Director of Student Union Meeting & Event Planning, the Event Coordinator supports the planning and coordination of events held within Student Union facilities, which encompass approximately 644,000 square feet of meeting, event, and gathering space.
The position serves as a key resource for students, student organizations, campus partners, and external clients by facilitating reservations, coordinating event logistics, and ensuring successful event execution across Student Union venues.
Associate’s Degree. One (1) or more years of working events as host, server or support crew. Three (3) or more years using Microsoft Office products. An equivalent level of education and/or experience is acceptable.
Preferred Education and Experience- Two or more years of professional experience in a higher education environment.
- Previous meeting and event planning experience.
- Responsible for planning events in Student Union (SU) spaces, including SU North, SU South, Comets LANding, SSB, SSA, Margaret McDermott Mall, and Chess Plaza.
- Serves as a secondary contact for event-related discussions.
- Conducts planning meetings with clients to discuss event details.
- Creates event layouts using Social Tables.
- Processes a broad range of reservation requests through Mazevo, the Student Union’s reservation software, including student organization and departmental meetings and events.
- May assist with requesting services on behalf of external clients, including Media Services, Custodial Services, UTD Police, and Parking.
- Assists with the day-to-day operations of the Meeting and Event Planning Office as needed.
- Oversees the Union Reservations email account and serves as the primary point of contact for the Union Reservations phone line.
- Assists with updates and audits of procedural documents.
- Coordinates with operations staff to ensure event needs are met.
- May work evenings and weekends, depending on the event schedule.
- Performs other duties as assigned.
Knowledge, Skills, and Abilities
- Knowledge of customer service principles and techniques.
- Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
- Ability to advise student organizations and campus partners on event planning.
- Experience collaborating and building relationships across departments and programs.
- Strong organizational skills with attention to detail and the ability to manage multiple projects simultaneously.
- Excellent verbal and written communication skills.
- Required to stand for extended periods while performing job duties.
- May be required to move or lift objects weighing between 10 and 25 pounds.
- Frequently required to climb, balance, stoop, kneel, and crouch.
- Must possess good vision, manual dexterity, and coordination to perform assigned responsibilities effectively.
- Must be able to hear and communicate effectively through speaking.
- May be required to hear and speak frequently throughout the workday.
Work Schedule
- Standard work hours for this position are 8:00 a.m. to 5:00 p.m., Monday through Friday.
- Occasional evening and weekend work is required to support scheduled events and departmental operations.
