Job Description: Receptionist
Reports to: HR Director
Position Summary
Under the direction of the Human Resources Director, the Receptionist serves as the first point of contact for Therapeutic Living Centers for the Blind (TLC). This position is responsible for providing exceptional customer service to visitors, employees, applicants, vendors, and community partners while ensuring efficient front office operations. In addition to reception responsibilities, the position provides administrative support to the Human Resources Department and other departments as needed, assists with employee engagement initiatives, maintains confidential records, and supports recruitment and organizational operations.
The ideal candidate demonstrates professionalism, excellent communication skills, strong organizational abilities, attention to detail, and the ability to maintain confidentiality while managing multiple priorities in a fast-paced environment.
Job Responsibilities:
· Reception & Customer Service
o Serve as the primary receptionist for TLC's main office.
o Greet, welcome, and professionally announce all visitors upon arrival.
o Provide exceptional customer service while creating a welcoming and professional environment.
o Answer incoming telephone calls by the third ring, identifying yourself and TLC while offering assistance.
o Accurately screen and route calls to the appropriate department or staff member.
o Take accurate telephone messages and ensure they are delivered immediately via email, handwritten message, or other appropriate method.
o Maintain current knowledge of TLC programs, services, departments, and organizational events to appropriately assist visitors and callers.
o Monitor visitor and vendor access in accordance with organizational security and visitor protocols.
o Ensure the reception area remains clean, organized, and professional at all times.
o Coordinate reception desk coverage during meal and rest breaks by partnering with Human Resources staff when necessary.
· Administrative Support
o Open, sort, and distribute incoming mail, packages, and deliveries daily before 3:00 p.m.
o Maintain and update the organization's administrative telephone directory on the first business day of each month.
o Respond appropriately to employee and management inquiries, directing questions to the appropriate department when necessary.
o Provide administrative support to the Executive Director and Human Resources Department as assigned.
o Assist with data entry and maintenance of Human Resources information systems and databases.
o Complete general administrative duties including filing, scanning, copying, preparing correspondence, and maintaining office records.
o Order office supplies, Human Resources materials, equipment, and other departmental resources as assigned.
o Assist with the coordination, distribution, inventory, and reconciliation of company-issued property including employee identification badges, business cards, cellular phones, and other assigned equipment.
· Human Resources Support
o Provide employment applications and job postings to prospective applicants.
o Review completed employment applications for completeness and legibility before forwarding them to the recruiter.
o Assist in maintaining both physical and electronic employee personnel files in accordance with organizational standards.
o Maintain strict confidentiality of employee, organizational, and client information in accordance with HIPAA, organizational policies, and applicable laws.
o Ensure accuracy, completeness, and confidentiality in all work assignments.
o Maintain organized filing systems for Human Resources and administrative records.
o Protect confidential information by following appropriate security and document retention procedures.
o Process and fulfill employee documentation requests as directed.
o As needed, assist with Human Resources communications including announcements of new hires, employee promotions, newsletters, recognition programs, contests, birthdays, anniversaries, and other employee communications.
o As needed, assist with recruitment activities, hiring events, orientations, and other Human Resources initiatives.
o Assist with ordering, distributing, and reconciling employee appreciation gifts and recognition items.
o Track, monitor, and maintain accurate records of employee appreciation expenditures and available funds.
o Prepare reports regarding employee appreciation budgets and expenditures as requested.
o Support Human Resources projects and administrative assignments as directed.
· Communication & Teamwork
o Maintain positive and professional working relationships with employees, visitors, vendors, and community partners.
o Communicate concerns, recommendations, and improvement opportunities directly to the Human Resources Director to promote effective communication and minimize misunderstandings.
o Work collaboratively with Human Resources staff and other departments to ensure efficient office operations.
o Demonstrate flexibility by assisting with departmental projects and organizational needs as assigned.
o Perform other duties and special projects as assigned by the Human Resources Director or Executive Director.
Qualifications:
· High School diploma or equivalent, required.
· Ability to accurately edit and correct written documentation.
· Must consistently possess and maintain a professional positive and friendly demeanor in all aspects of the Receptionist’s duties. Eating and use of personal electronics not permitted.
· Demonstrate strong interpersonal and teamwork skills, work well with others.
· Ability to take initiative - utilize time effectively during slow periods.
· Ability set priorities and organize work responsibilities to ensure completion of assigned tasks within preset timeframes. Ask for guidance, help or clarification when unsure.
· Ability to communicate effectively orally and in writing to all levels of staff, visitors, and outside entities.
· Ability to communicate and work effectively with people of diverse cultures, education, social, and economic backgrounds.
· Ability to maintain confidentiality.
· Proficient in computer operations to include the following software: Microsoft Office (Word, Excel, Access), Power Point, Publisher.
· Maintain a valid CA driver’s license with a driving record that is acceptable for TLC’s insurance carrier.
PHYSICAL DEMANDS AND WORKING CONDITIONS: This position is primarily housed in a temperature controlled office. Constant telephone use with a handset. Dexterity of hands and fingers to operate a computer keyboard. Frequent use of computer programs 5-6 hours a day on average. Generally the job requires 70% sitting, 10% walking, 15% standing, and 5% bending, squatting, and kneeling. Ability to lift 10-50 lbs.
