TOTE Maritime Alaska is seeking a highly organized, customer-focused, and detail-oriented Terminal Specialist to join our Operations team in Tacoma, Washington.
This role is ideal for professionals who enjoy customer service, logistics coordination, transportation operations, booking management, and problem-solving in a fast-paced environment. As a key member of our team, you will help ensure the seamless movement of freight while supporting customers, drivers, and internal stakeholders.
Compensation
Salary Range: $39,449 - $69,113 annually
Anticipated Hiring Range: $50,000 - $52,000 annually
Compensation is based on factors including experience, qualifications, internal equity, and business needs.
Position Summary
As a Terminal Specialist, you will serve as a primary point of contact for customers, drivers, and internal departments, ensuring efficient booking management, freight coordination, and customer support.
You will play a critical role in supporting terminal operations by coordinating shipments, scheduling appointments, resolving customer inquiries, maintaining accurate records, and supporting daily operational workflows.
The successful candidate is customer-focused, detail-oriented, organized, and comfortable managing multiple priorities simultaneously.

Key Responsibilities
Customer Service & Relationship Management
- Provide exceptional customer service through phone, email, and face-to-face interactions
- Serve as a primary point of contact for customers, drivers, and internal teams
- Respond to customer inquiries regarding bookings, vessel schedules, deliveries, pickups, and operational requirements
- Communicate company policies, procedures, and transportation requirements clearly and professionally
- Resolve customer and vendor concerns in a timely and effective manner
Booking & Logistics Coordination
- Create, update, and monitor customer bookings to ensure accuracy and timely processing
- Coordinate deliveries, pickups, and terminal appointments
- Assign customer bookings to designated Maritime Alaska vessels
- Monitor shipment activity and booking workflows
- Support freight movement and daily terminal operations
Operations & Administrative Support
- Reconcile yard inventory and maintain accurate operational records
- Process customer payments and related documentation
- Monitor and correct web-based and EDI bookings
- Create temporary organizations and update customer account information
- Run, review, and audit operational reports to ensure data accuracy
- Perform accurate data entry and maintain records in company systems
- Support multiple departments to ensure seamless operations
Continuous Improvement
- Identify opportunities to improve operational efficiency and customer satisfaction
- Support process improvement initiatives
- Maintain accurate documentation and reporting to support business goals
Qualifications & Work Requirements
- Associate degree preferred
- 1-2 years of customer service, transportation, logistics, freight, shipping/receiving, or related experience preferred
- Strong customer service, communication, and relationship-building skills
- Excellent organizational skills with strong attention to detail
- Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment
- Ability to work independently and collaboratively in a team setting
- Basic mathematical and problem-solving skills
- Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and PowerPoint
- Experience with web-based applications, transportation software, EDI systems, or e-commerce platforms preferred
- Ability to maintain accuracy under pressure while managing multiple priorities
- Comfortable working in a professional office environment with frequent computer use, keyboarding, data entry, reporting, and customer interaction
- Flexibility to work evenings, weekends, or modified schedules as business needs require
- Must be legally authorized to work in the United States
