Executive Assistant IPosition Summary:
The University of Wisconsin - Platteville invites applicants for an Executive Assistant. The primary focus of this role is to provide professional-level administrative and operational support, at the direction of the Executive Operations Manager, to senior leadership within the University of Wisconsin-Platteville, including the Vice Chancellor, Assistant Chancellor, and Chief of Staff. The role will be privy to confidential information and will be relied on to utilize discretion and operate with minimal supervision. Job duties will cover a concentration of travel, technical and procurement related items. This is a benefit-eligible position with a yearly salary of $55,000.
Key Job Responsibilities:
- Serve as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
- Serve as the main point of contact for travel requests, contract management and expense management
- Schedule logistics for meetings, conferences, and travel and organizes schedules for Chancellor’s Cabinet members.
- Collaborate with the Chancellor’s Suite Administrative Support team to coordinate efficient operations for the Chancellor and her leadership team. This will include cross-training on various items to ensure continuity of operations.
- Coordinate submission and monitors process for expense reports, contracts, and facility use agreements in compliance with State of Wisconsin and UW-System policy.
- Responsible for purchasing card and compliance with practices, policies and procedures.
- Provide calendar coordination for one executive and back-up calendar coordination for other Chancellor Suite members.
- Maintain established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
- Serve as key coordinator for Ullsvik Hall.
- Provide administrative support, when needed, for division level needs.
- Additional duties as assigned, aligned with professional skills and general scope of position.
What You'll Need to Succeed:
2 years minimum office/administrative support experience.
Excellent oral and written communication skills, excellent interpersonal communication skills; ability to interact successfully with faculty, staff, and students as well as external constituents-regional, statewide and national.
Excellent telephone protocol.
Attention to detail, excellent organizational skills, and discretion with confidential information.
Ability to work with confidential and sensitive information and records. The position requires a high degree of confidentiality, responsibility and independence in completing responsibilities.
Ability to operate independently and to independently set priorities to meet the demands of the position.
Documented excellence in the following areas: self-awareness and professional development; communication and personal effectiveness; customer/people oriented; achievement orientation.
Excellent customer orientation and problem-solving skills.
Knowledge of various software programs; including in MS Office applications, computer literate with the ability to learn new software applications.
