JOB DESCRIPTION
Job Summary
The Human Resources Coordinator serves as the first point of contact for employee HR inquiries and provides administrative support for all HR operations. This position is responsible for coordinating onboarding and offboarding processes, maintaining employee records, supporting employee engagement initiatives, and ensuring efficient execution of day-to-day HR administrative functions. The HR Coordinator plays a critical role in delivering exceptional employee service while supporting compliance and organizational objectives.
Duties/Responsibilities
Employee Support & HR Front Desk
- Serve as the first point of contact for employee HR-related inquiries.
- Respond to routine employee questions regarding:
- PTO balances and accruals
- Benefits enrollment status
- Payroll inquiries (triage and routing as appropriate)
- Basic policy and procedure questions
- Escalate complex employee relations, compliance, benefits, payroll, leave of absence, and policy interpretation issues to the appropriate HR team members.
- Provide timely and professional customer service to employees and leaders.
Onboarding & Offboarding Administration
- Coordinate all new hire onboarding activities.
- Prepare and distribute new hire paperwork and onboarding packets.
- Initiate and monitor pre-employment background checks through Checkr.
- Ensure completion and tracking of Form I-9 documentation.
- Coordinate equipment requests, system access, badges, and other onboarding logistics.
- Schedule and track required onboarding activities and training.
- Execute employee separation processes and offboarding checklists.
- Coordinate collection of company property and completion of termination documentation.
Orientation & Training Coordination
- Coordinate and schedule new hire orientation sessions.
- Maintain onboarding schedules and communication with new employees.
- Track completion of required onboarding modules, training assignments, and acknowledgments.
- Support training in logistics and attendance tracking as needed.
HR Administrative Support
- Maintain accurate and confidential personnel files.
- Upload and maintain employee documents within ADP systems.
- Track policy acknowledgments, handbook receipts, and required compliance documentation.
- Ensure employee records are current and compliant with company standards.
- Assist with audits and document requests.
- Generate reports and maintain HR tracking spreadsheets and databases.
Employee Engagement Support
- Coordinate logistics for employee engagement programs and events.
- Create and distribute event communications, flyers, and participation materials.
- Manage event registrations, sign-up sheets, and participation tracking.
- Coordinate prize distribution and employee recognition activities.
- Assist with employee surveys and engagement initiatives.
- Maintain engagement participation records and reporting metrics.
General HR Support
- Support HR projects and initiatives as assigned.
- Assist with maintaining HR forms, templates, and administrative processes.
- Ensure confidentiality of employees and organizational information.
- Perform other duties as assigned.
Required Skills/Abilities
- Strong customer service and interpersonal skills.
- Excellent verbal and written communication abilities.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong problem-solving and follow-up skills.
- Ability to work independently and collaboratively within a team environment.
Education /Experience
- Associate degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 1-3 years of administrative, customer service, or Human Resources experience.
- Experience working with HRIS systems preferred.
- Experience with ADP, Paylocity, or similar HR/payroll platforms preferred.
Physical Requirements
- Prolonged periods of sitting and working at a computer.
- Ability to occasionally lift up to 25 pounds.
- Ability to travel between company locations as needed.
Job Type: Full-time
Pay: $24.00 - $29.00 per hour
