Clinic Assistant

Position Overview:
The Clinic Assistant is responsible for the care of the clinic patients under the direction of the RN or the provider. The Clinic Assistant is responsible for departmental clerical and inventory management duties. This role will manage office supply and equipment inventory in a fiscally responsible manner. The position requires excellent organization skills, good communication skills and the ability to multitask. Patient information will be entered in the EMR. Contacts patients based on direction from nursing staff or providers. Receives and logs patient messages into the EMR for nursing staff actions. Other duties include but are not limited to coordinating appointments (referrals, follow-ups, and prior authorizations) with other departments and/or facilities and ensuring appropriate materials are available; supports CSI initiatives; scheduling patients and supports providers on a continuous basis.
Essential Duties & Responsibilities:
- Responsible for inputting all applicable data into the electronic medical record (EMR) (Cerner).
- Performs appropriate documentation and assists with work comp, prior authorizations, etc. for continuation of patient care.
- Coordinates schedules, procedures, and supplies.
- Responsible for coordination of care for patients on Specialty Clinic provider schedules.
- Schedules surgery or diagnostic studies including prior authorization.
- Ensures nursing supplies and medications are properly ordered and available.
- Maintains professional telephone etiquette when scheduling appointments for both incoming telephone calls and patients in person, following the set procedures according the specific department policies and/or physician templates.
- Determine next available appointment based on availability of providers and reschedule existing appointments based on provider changes or from patient cancellations. Also responsible for completing work queues in scheduling system for specialty care
- Receives and logs patient messages into Power Chart office for nursing staff in a timely Requires staff to collect all necessary information from patient to ensure triage staff receive accurate information. Staff will return calls to patients based on return messages from nursing staff.
- Active in daily assessment of work to support Specialty Care CSI quality improvement work and processes.
- Performs other office staff duties as needed, including but not limited to faxing, filing, copying, and covering other staff breaks and lunches.
- Accept and log payments for supplies and or services as needed.
- Other duties as assigned.

Skills and Experience:
Required:
- High School Diploma or Equivalent
- 1 – 3 years of customer service, reception, or business experience
- Good decision-making, communication, and organizational skills
- Ability to perform multiple tasks independently in a busy, ever-changing environment
- Basic computer skills: Word, Excel, Outlook, and Patient Information Database (Cerner)
Preferred:
- Post-secondary education in a related field
- Knowledge of medical terminology
- Previous scheduling experience in a clinic setting
